JOB SUMMARY

Supervises and coordinates activities of personnel engaged in purchasing, distributing, and shipping materials, equipment, and supplies in an organization by performing the following duties.

Directly supervises the Parts Department associates and Inventory Control Specialist.

KEY DUTIES / RESPONSIBILITIES

LEADERSHIP & SAFETY :

Direct supervision of Parts Department and of the Paper Inventory Control Specialist. Trains and develops department personnel including the Performance Development process.

Establishes appropriate goals for the department and tracks performance against goals.

  • Consistently and fairly administers company policies to manage employee relation issues, ensure retention and positive employee relations.
  • Manages payroll and attendance for department and provides compensation input to leadership on direct reports.
  • Promotes, educates, and participates in diversity programs at locations, builds a diverse workforce, and supports compliance initiatives.
  • Writes, maintains, and implements appropriate SOP documents related to Purchasing, Inventory Control and Safety. Prepares periodic reports as necessary.
  • Oversees the efficient local use of Infor EAM, Oracle, IPS and Concur.
  • Carries out accounting policies / procedures with each system and trains other employees.
  • Fulfills role of corporate / administrative contact for INFOR EAM systems.
  • Works with INFOR regarding upgrades and system issues.
  • Works with Accounting & BTS to establish procedures for EAM / Oracle integration. Provides training and support to all branches using EAM.
  • Environmental / Health / Safety : Administers Safety Suggestion and Safety Observation program. Completes incident reports as necessary.

Suggests safety improvements.

  • Provides oversight and data for Hazard Communication, Air Quality, and Right to Know regulations.
  • Enforces all company safety policies & monitors work habits of direct reports to minimize the frequency / severity of incidents.
  • Owns or helps maintain internal websites and SharePoint sites. 40%

INVENTORY MANAGEMENT :

  • Sources, expedites, and orders parts & services in response to equipment breakdown emergencies.
  • Organizes, supervises, and directs the work of Parts Department personnel engaged in receiving, issuing, delivering and cycle counting supplies and equipment parts.
  • Monitors and ensures accuracy of related records.
  • Provides usage information as needed to assist leadership team with PM parts usage and root cause analysis.
  • Maintains a dynamic cycle counting program to ensure high inventory accuracy ratios.
  • Analyzes supply & demand patterns and carries out periodic inventory level / usage audits to ensure adequate and correct levels of repair & maintenance parts, operating supplies, and consumables.
  • Manages disposition of obsolete / surplus materials & parts.
  • Responsible for Roll Paper Inventory System accuracy. The Inventory Specialist enters all paper usage & receipts, coordinates with Paper Purchasing as needed, and provides accurate reports. 30%

PROCUREMENT & INVOICE MANAGEMENT :

  • Oversees daily replenishment activities (requisitioning, purchase order generation and receiving) for all divisional spend on parts, supplies, and packaging materials.
  • Assists leadership to coordinate all divisional spend for annual and periodic service contracts / visits.
  • Provides usage validation and receipt tracking for printing ink consumption. Coordinates all activities related to procurement of parts & materials, from intent to purchase through receipt of order.
  • Ensures purchasing is carried out in compliance with Procurement guidelines.
  • Responsible for timely and accurate invoice submissions and documentation.
  • Advises team members or leadership on appropriate suppliers to be utilized.
  • Researches and submits new suppliers as needed for Procurement approval.
  • Hold suppliers accountable to meet quoted delivery performance and product quality standards.
  • Coordinate activities of on-site suppliers including, but not limited to, pest control, vending services, Vendor Managed Inventory activities, regulated waste and Safety / First Aid.
  • Other duties as assigned. 30%

Qualifications

EDUCATION

  • High School Diploma or GED (Required)
  • Bachelor's Degree (Preferred)
  • In lieu of the above education requirements, a combination of experience and education will be considered.

EXPERIENCE

  • 3 - 5 years Supervisory experience in a parts / inventory or manufacturing environment (Preferred)
  • 3 - 5 years Demonstrated leadership skills (Preferred)

CERTIFICATIONS & LICENSURES

Certified in DOT Hazardous Materials Regulation as needed.

KNOWLEDGE / SKILLS / ABILITIES

Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume.

Ability to apply concepts of basic algebra and geometry.

  • Ability to lead effectively, including establishing and maintaining a high performing team.
  • Ability to persuade, influence and seek cooperation from vendors, suppliers and other external departments.
  • Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations.

Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.

Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

  • Position requires a very detail-oriented individual with excellent follow-through.
  • To perform this job successfully, an individual should have knowledge of Oracle e-Business software; INFOR EAM software;

Microsoft Excel Spreadsheet software and Microsoft Word Processing software.

EQUIPMENT / SOFTWARE UTILIZED

  • INFOR regarding upgrades and system issues. BTS to establish procedures for EAM / Oracle integration and training.
  • Microsoft Office 365 with Teams

COMMUNICATION AND CONTACTS

  • Work closely with maintenance department to inform technicians of pertinent information.
  • Communicates with plant personnel to inform others of inventory level issues, expected

deliveries, and to notify others of incoming visitors.

Communicates with equipment vendors and various suppliers regarding quotes, orders, and

shipments.

DECISION MAKING

  • Makes ordering decisions to place nonstock orders in support of plant
  • Makes decisions concerning inventory storage and replenishment levels
  • Makes decisions concerning repair / replace, and selecting repair suppliers
  • Makes decisions concerning personnel such as staffing, training and departmental projects.

OTHER

Able to work nights and weekends as needed. Available by telephone after scheduled work hours.

Additional Information

Annual Salary : $64,200-$84,200 Additionally, this position is eligible for a Management Bonus.

The ultimate compensation offered for the position will depend upon several factors such as skill level, cost of living, experience, and responsibilities.
