What are the responsibilities and job description for the Office Assistant position at Valence?
Essential Functions:
Welcomes visitors by greeting them, in person or on the phone; answering or referring inquiries.
Directs visitors to the appropriate company personnel; making sure all customers entering the building are given badges. Maintains safe and clean reception area by complying with procedures, rules, and guidelines.
Respects confidentiality in discussing participant/consumer, staff, volunteers and organizational matters.
Performs contract review under supervision of the customer service supervisor; ensuring accuracy of new and revised contracts. Distributes and receives applications for job seekers.
Sorts and distributes mail to appropriate departments.
Prepares documents to be scanned by removing staples, paper clips, etc.
Scans documents into electronic database as directed by the company.
Ensures the scanned documents are legible before submitting them in the electronic database.
Reports any maintenance or repairs needed on the scanners to the appropriate outsourced company.
Performs other duties as assigned.
