Primary Purpose:
Organize and manage the routine work activities of a Coordinator's office and provide assistance to employees to ensure effective use of benefits.
Qualifications:
Education/Certification:
High school diploma or GED
Special Knowledge/Skills:
Proficient skills in keyboarding, word processing, and file maintenance
Effective communication and interpersonal skills Basic math skills
Ability to use personal computer and software to develop spreadsheets and databases and do word processmg
Knowledge of Texas Labor Code and Texas Workers' Compensation Commission Rules Knowledge of Unemployment Compensation Programs
COGNOS Report Writer knowledge and experience
Experience:
Three years of secretarial experience, preferably in a public education environment
Major Responsibilities and Duties:
1. Prepare correspondence, forms, manuals, schedules, contracts, and reports for the Coordinator
2. Compile pertinent data as needed when preparing various federal, state, and local reports.
3. Maintain physical and computerized departmental files.
4. Maintain databases as required by Coordinator.
5. Process long-term absence request, including Family and Medical Leave.
6. Provide employees with required timely notice.
7. Coordinates with the third party administrators for Workers' Compensation.
8. Answer and respond to incoming calls, take reliable messages, and route to appropriate staff (Coordinator and Risk Manager).
9. Greet visitors and assist employees with completing required paperwork.
10. Maintain a schedule of appointments, assist with scheduling and set up of meetings.
11. Make travel arrangements for the Coordinator and Risk Manager.
12. Receive, sort, and distribute mail and other documents to appropriate staff.
13. Maintain confidentiality of information.
14. Assist with processing all employee benefits enrollment and change forms within required time limits to meet payroll deadlines.
15. Assist in providing timely notice to employees under the Consolidated Omnibus Budget Reconciliation Act (COBRA) and Health Insurance Portability and Accountability Act (HIPPA) including issuing certificates of coverage for all medical plans for all terminated employees and dependents.
16. Maintain all physical and computerized health insurance records and assist with required data entry.
17. Maintain and distribute insurance forms and supplies to campuses and other district buildings.
18. Prepare and compile pertinent data to process purchase orders for Safety and Security projects and Health Services.
19. Process work orders as advised by Risk Manager for Maintenance and Technology and provide follow up.
20. Perform other related duties as assigned.
