What are the responsibilities and job description for the Back Office Supervisor position at Village Health Partners?
Village Health Partners is seeking an experienced and reliable Back Office Supervisor for our Frisco office. Certified Medical Assistant with at least 5 years of lead or supervisory experience is required. This person would provide oversight and coordinate all aspects of clinical care duties among Back Office Medical Assistant team members, ensure that standards and care quality levels are consistently being followed among staff, uphold Village Health Partners Core Values during all interactions, and assist the Site Director in recruitment and retention of qualified personnel.
RESPONSIBILITIES:
- Supervise the Back Office staff including conduct and attendance
- Prepare staff timesheets prior to payroll cycle to include addition of PTO and monitoring overtime.
- Ensure policies and procedures are consistently followed and provide re-education when necessary
- Perform periodic assessments of back office Medical Assistant ability to follow service standards and protocols within the office setting.
- Manage the medical supplies and vaccine inventory, including regular reporting to management.
- Manage the office supplies ordering and inventory, including regular reporting to management.
- Knowledge of Service Model practices and demonstrated ability to manage adherence within the clinic setting.
- Identify opportunities to continuously enhance the efficiency and improvement of patient care in the setting.
- Provide coverage for Back Office Medical Assistants when needed.
- Oversee and manage MA desktops.
- Collaborate with the Corporate Trainers and Senior Care Team members.
- Knowledge of and enforcement of all OSHA & HIPAA rules in a clinic setting.
QUALIFICATIONS:
- LVN license or MA certification with minimum of 5 years lead or supervisory experience required
- Exceptional leadership qualities and ability to effectively coach employees
- High school diploma or equivalent
- Superior customer service and communication skills, both verbal and written
- Highly motivated & organized with attention to detail
- Experience with basic desktop software, medical practice management, and electronic medical record systems.
- Knowledge of and adherence to HIPAA and OSHA rules and regulations
