As the initial point of contact, our front desk team plays a pivotal role in extending a warm and hospitable welcome to all our members and service providers when they visit our offices.
Your Responsibilities
Reporting to the Head of HR, you will use the highest standards of attention to detail and your skilful problem-solving abilities to ensure a consistent, seamless, and excellent customer experience. Your responsibilities will include:
- Creating a productive, and adaptable work environment that fosters employee well-being and supports the evolving needs of the modern workforce.
- Efficiently coordinating and supervising meeting rooms to ensure seamless and productive gatherings.
- Welcoming and members, employees and guests with professionalism and hospitality.
- Managing courier and mail services to handle incoming and outgoing deliveries effectively.
- Purchasing office supplies.
- Handling the invoicing process, including invoice writing and control, and reporting for effective financial management.
- Maintenance of our current programmes.
- Efficiently managing mail distribution and processing for seamless communication within the organization.
Required Skills, Qualifications, and Experience
- Experience working in an administrative/front facing role.
- Strong organizational and coordination skills.
- Fluent in both German and English, written and spoken.
- Strong communication skills and the ability to work in a team.
- Independent, structured and problem-solving working style.
- Availability to work flexible hours.
- Excellent IT and MS Office skills.
