Vitamix is seeking an Executive Administrative Assistant who will provide high-level administrative support to the VP, Engineering and the Engineering Leadership team. This dynamic role involves managing schedules, coordinating meetings, and handling communications to ensure the department runs smoothly.
Duties & Responsibilities:
- Manages and maintains the executive’s schedule, including calendar management, travel arrangements, and meeting coordination. Provides administrative support to the department leadership team.
- Serves as the point of contact between the executive and internal/external stakeholders.
- Coordinates in person and virtual meetings including meeting materials, working with IT to have systems up and running prior to meeting time, catering, etc.
- Completes monthly travel and expense reports for executive and department leadership in a timely manner.
- Manages administrative tasks and routine issues independently, ensuring timely completion of work with exceptional quality.
- Draft, edit, and proofread correspondence, presentations, and other communications for the executive.
- Anticipates and responds to changing situations. Resolves issues in an innovative manner.
- Handles confidential information in a professional and discreet manner, bringing important information to the attention of the executive as appropriate.
- Ensures office operations run efficiently and coordinates with IT when necessary.
- Perform other duties as assigned.

- High level of corporate professionalism, maturity and political savvy

- Demonstrated ability to lead, coordinate, and manage complex projects.
- Bachelor’s Degree in Business or related field, or equivalent combination of education and work experience
- 4 years’ experience supporting executives
