Job Summary
W.C. Bradley Farms is seeking an Office Manager to join our team! In this role, you will provide office administrative support, accounting support, and coordination duties. The successful applicant will assist with planning and coordinating Farm-wide processes, such as facilities maintenance, space planning, and other events or projects with internal and external stakeholders. The Office Manager will monitor inventory and place orders for supplies and provisions.
Duties and Responsibilities
- Responsible for processing mail, invoices, employee expense reports, reimbursements, and petty cash.
- Tracks time reports, attendance, or timecards.
- Assist HR activities such as employee onboarding, interview coordination, training initiatives, and other special projects.
- Maintains electronic filing system, reporting, user support, and accounting system (SAP).
- Collect and consolidate financial data in preparation for budget/forecast.
- Maintain billing records and inventory.
- Barn2Door monthly billing/payment reconciliations.
- Weekly and Monthly reconciliations for all Farm vendors in SAP.
- Assist with the operation of the Barn2Door deliveries to external entities and to different company business units.
- Serves as liaison between Farm team members and Human Resources.
- Responsible for coordination of project calendars, and travel schedules for management and staff.
- Responsible for coordination of cabin calendars for Lodging/Cabin stays and activities including seasonal events.
- Organizes and coordinates on-site and off-site meetings, luncheons and other social functions by scheduling times, attendees, meetings rooms, refreshments, etc. and communicate status of meetings, current office issues, and any respective changes to schedules etc.
- Coordinates and assists in the preparation of legal and insurance records.
- Reports and initiates inter-company requests for equipment and services as requested.
- Maintains annual subscriptions, training records, permits, licenses and safety certifications.
- Order and manage the distribution of Grass Creek, Bradley Farms and Bradley Homestead logoed inventory.
- Other duties as deemed necessary.
Qualification Requirements
Minimum Education: Associate degree or the equivalent years of experience (10 ).
Minimum Work Experience: 3 to 5 years of experience in the related areas, to include Accounting
License(s) / Certification(s): N/A
Knowledge, Skills and Abilities
- Well organized, detailed oriented with demonstrated problem-solving skills.
- Advanced Microsoft Office (Word, PowerPoint, Excel, Outlook) applications skills.
- Must have demonstrated ability to interact with diverse groups.
- Ability to apply good judgment and manage multiple tasks from various people in a fast-paced environment.
- Must have a demonstrated "customer service" style.
- Proficiency in SAP a plus.
- Advanced Microsoft Office (Word, PowerPoint, Excel) applications skills and Microsoft Outlook.
- Must have demonstrated ability to interact with diverse groups.
- Ability to apply good judgment and manage multiple tasks from various people in a fast-paced environment.
- Must have a demonstrated "customer service" style.
- Basic understanding of the business unit industry.
