Overview
We’re looking for someone who is very organized and has great time management skills to help manage the day-to-day office operations and provides project administrative support to the Office Administrator and Owners.
Major Duties and Responsibilities
- Welcoming and directing visitors and contractors.
- Answer multi-line switchboard and direct calls to the appropriate individual. Take messages and/or return calls as needed. Check voicemails daily; forward appropriately.
- Filing, scanning and emailing documents and correspondence.
- Type general correspondence, memos, charts, tables, graphs, quotes, etc.
- Create and maintain job files for projects. Certified payrolls, data entry, clerical tasks for projects.
- Assist in the preparation of monthly payment applications/invoices, billbacks, and contracts for ongoing projects. Track pay applications, create AIA documents, and other administrative documents for ongoing construction projects.
- Ensure subcontract compliance requirements are met (insurance certificates and W-9’s)
- Assist with payroll, as needed.
- Accounts Payable/Accounts Receivable - Enter all invoices accordingly and accurately apply charge code.
- Balance and match receipts to credit card statements.
- Other duties as assigned: may include, ordering office supplies, coordinating meeting, sorting mail, sign for packages and deliveries, bank deposits.
Qualifications:
- Experience as an Office Assistant or Receptionist is required
- Have proficient knowledge of Microsoft Office (Word, Excel, and PowerPoint) are required.
- Be well organized and detail oriented. Able to prioritize and multitask. Great time management is essential.
- Able to take direction and work independently while executing on schedule.
- Excellent written and verbal communication skills.
- Experience working with accounting software preferred (Sage Peachtree/QuickBooks).
- Construction/financial experience is a plus.
- Must be able to handle sensitive and confidential information.
Hours: Monday through Friday, 8:00 a.m. to 4:30 p.m.
Education:
- High school or equivalent (Required)

Pay: $12.00 - $16.00 per hour
