The Executive Director of Advancement seeks candidates for our Advancement Assistant for Gift and Data Entry role. This role is responsible for accurately reporting and receipting all gifts and pledges to the College in a timely manner. The Advancement Assistant for Gift and Data Entry serves as member of the Advancement Team and works under the direction of the Executive Director of Advancement.
HOURS OF WORK:
To start: Part-time; 21 hours per week
As of April 1st: Full-time; 35 hours per week upon retirement of Current Incumbent

JOB DUTIES AND RESPONSIBILITIES
- Manage the process of inputting all charitable gifts and pledges to the college into the database.
- Generate all gift receipts and prepare acknowledgment materials for distribution to appropriate advancement staff.
- Prepare all gift and pledge reports including, but not limited to, weekly transmittal reports to the college controller, weekly update reports to advancement staff and senior staff.
- Input and maintain data relating to gift records, including, but not limited to, setting up new codes/general ledger accounts, completing gift designation transfers, updating donor biographical information, creating new constituent files (e.g., newly graduated students, current parents, and friends).
- Maintain the physical files in the file room.
- Provide back-up support as necessary for Advancement.
- Manage records for deceased donors and notify planned giving officer of possible forthcoming estate gifts.
- Perform other duties as assigned.
REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES:
Strong computer skills, extreme attention to detail, knowledge of database functions, ability to preform detailed operations accurately, strong customer service skills, perform multiple tasks and meet deadlines.
QUALIFICATION STANDARDS:
High school diploma required; some college is preferred. Accounting experience and/or charitable gift entry experience is a plus.
