WellStone is North Alabama’s most comprehensive behavioral healthcare provider serving over 13,000 persons a year throughout Northern Alabama, with offices in Huntsville and Cullman. We are a non-profit community organization that offers a wide range of services for every phase of life, from children to older adults.
We are hiring for an HR Assistant in our Huntsville Office.
Qualifications (What we're looking for):
- Bachelor’s Degree in HR or in a business-related field (preferred)
- Proficiency in Microsoft Office to include Excel/Word
- Experience with HRIS software (preferred)
- Excellent Verbal, Written and Oral Communication Skills
- Ultimate/UKG software experience a plus
Duties & Responsibilities (What you'll be doing):
- Answer phone calls, assisting the caller, or refers the question to the applicable HR Representative.
- Scans documents and uploads into HRIS.
- Prepare reports using information from the HRIS, Ultimate Software Recruiting Gateway (ATS), and other sources.
- Assist HR Recruiter with maintaining the open positions using the Ultimate Software Recruiting Gateway (ATS)
- Assist HR Recruiter with closing out Announcements in the Recruiting Gateway once all selectees have been chosen and the Hiring Manager has notified HR that he/she is finished with the announcement. Note: Closing out the announcement automatically sends an email to the applicants who were not selected.
- Assist with inputs to initiate background screening, refers any background checks that are returned with flags of negative information, or motor vehicle records that may need review prior to an offer to the applicable HR Representative for further review.
- Assist HR Representative with primary source verification for licenses
- Assist HR Representative with onboarding and orientation of new employees.
- Assist with setting new employees up in the timeclock system, and input of data into UKGPro (some information automatically transfers over from the Recruiting Gateway)
- Develop Medical, Leave and Personnel File
- Route credentials, degree, resume and transcripts to HR Representative who is doing credentialing for third party insurance panels for licensed staff
- Assist HR Benefits Administrator with processing of benefits changes, and on-site events such as wellness screenings and open enrollment
- Perform general employment verifications when contacted
- Answer employee questions in regard to policies, procedures, change of addresses, change of beneficiaries, benefits, protocols, etc.
- Provide documents per the requests of staff (i.e., direct deposit forms, change of address forms, short-term disability information/forms)
- Other duties as assigned - Scheduled and assigned duties are subject to change based on the needs of the program and customers we serve,
