What are the responsibilities and job description for the Receptionist position at West Music Company?
Being the first point of contact via phone or in person for West Music customers and visitors, our Receptionist will assist West Music in meeting our mission of encouraging people of all ages and abilities to “Play now. Play for life”. Receptionists will answer inquiries and provide information to the general public, customers, visitors, and others. In addition, our Receptionist will be responsible for providing administrative support for the Coralville Lessons program.
What you will do:
- Operate multi-line telephone to answer, screen, or forward calls, providing information and taking messages, ensuring that every call is received by the proper associate.
- Greet visitors and vendors entering West Music, determine nature and purpose of visit, and follow protocol for assigning visitor badges.
- Provide information about establishment, such as location of departments or offices, employees within the organization, or services provided.
- Collect, sort, distribute, or prepare mail, messages, or deliveries.
- Assist with bulk mailings and special projects as assigned.
- Make outgoing calls to customers in support of the retail or repair staff.
- Respond to any phone or e mail inquiries regarding general music lesson program in Coralville store:
- Answer customer questions and requests for information,
- Partner with lesson teachers to update availability calendar and to schedule new lesson students
- Communicate lesson cancellations to teachers and students
- Provide administrative support for recitals and workshops for Coralville instructors. Provide on-site support for events as needed.
- Maintain and modify as necessary the Coralville recital hall schedule, working with instructors to ensure effective and efficient use of the space.
What you bring:
- Skilled with Microsoft Office products (specifically Word and Excel).
- The ability to work independently on assigned tasks as well as accept direction on given assignments. Able to work collectively with the administrative team associates.
