This position is responsible for the maintenance of record systems; for classifying, coding and storing official Police Department data used for investigative and referral purposes.
Provides basic clerical/secretarial support; proficient communication and interpersonal skills; ability to interact with the public.
Responsibilities include, but are not limited to:
Provides assistance to individuals at the Records Window with various types of record and report requests, as well as providing phone coverage and assisting callers with similar requests.
Performs accurate and timely entry of motor vehicle violations, accident reports and alarm permits. Responsible for copying and filing accident reports with the NJ Department of Transportation.
Works with multiple systems including: Record Management Systems, NCIC (National Crime Information Center), CAD (Computer Aided Dispatch), POSS (Police Officer Scheduling System), and NJ Department of Motor Vehicles.
Provides Motor Vehicle Accident, Operations, Investigation or Arrest reports to insurance companies and/or individuals upon request under OPRA.
Prepares correspondence to insurance companies, individuals, and attorneys and other written or verbal correspondence
Maintains Patrol Vehicle Logs, Motor Vehicle Accident, Operation, Investigation reports and Arrest files. Researches and prepares discovery for prosecutor, public defender and attorneys.
Assists Public obtain various information with regard to obtaining Handicap Placards, Alarm permits; process/assign number and mails Temporary Handicapped Placards, alram permits; assigns alarm incidents to registered permit holder and new Alarm owners.
Provides criminal and/or vehicular records research, vial mail and/or fax, scan and emails to all branches of the military, other Police Departments, all branches of the US, State and County Governments.
Sorts and distributes all incoming mail and faxes; copies and delivers court subpoenas to the Lieutenants, Sergeants and Patrol.
Receives Discovery Requests including but not limited to Arrests, Motor Vehicle, Summonses.
Provides clerical services to Detective Bureau, Administration, and Traffic Bureau as needed.
Provides clerical and secretarial assistance when necessary and other related duties as required by the Chief of Police.
QUALIFICATIONS:
High School Diploma or its equivalent and one year of office/clerical experience.
Strong computer and communication skills and the ability to work independently, accurately and confidentially.
Read, write, speak, understand and communicate in English sufficiently to perform the duties of the position
