What are the responsibilities and job description for the Project Coordinator position at Weston & Sampson?
Weston & Sampson is currently seeking a Project Coordinator with 8-15 years of experience to work with our Water group in one of our New England offices.
What you’ll do:
- Open projects, proposals and clients in an enterprise software system (Deltek Vision)
- Review contracts for the financial related terms and conditions, ensure that they are clearly and accurately represented on the Project Opening documentation. Inform Project Managers of any discrepancies,
- Review draft invoices and all related documents through an electronic billing system,
- Communicate with Project Managers on project financial tracking and billing,
- Act as liaison between Project Managers and Accounting Dept. for the final invoices for all billable projects,
- Assist in preparing applicable backup for invoices,
- Maintain electronic filing and archiving of project specific documents, including project opening forms, contracts, proposals and budget changes,
- Ensure that appropriate approvals are obtained in accordance with company policies,
- Research and reconcile project related issues, identify cause of project variances and clear when possible,
- Support and assist Project Managers
- Perform additional assignments, as directed by the Administrative Manager and Supervisors
- Report problems to the Administrative Manager or direct supervisor as necessary.
What you will bring:
- Excellent communication, leadership, and organizational skills.
- Ability to work in a collaborative team environment across multiple technical teams and regions.
- Degree in accounting or business preferred.
- Intermediate to advanced computer literacy, including experience in spreadsheets and accounting software.
- Prior billing experience, preferably with at least 2-3 years in an A/E environment
- Knowledge of Deltek/Vision Enterprise Software or other accounting platforms, a plus
- Thorough knowledge of standard contract terms
- Ability to work well with others under deadline situations and respond to changes in priorities.
- Good written and verbal communication skills and strong organizational skills
- Ability to work independently, take initiative, set priorities and see projects through to completion.
- Problem-solving and analytical skills
