What are the responsibilities and job description for the Immigration Specialist position at WEX Inc.?
In partnership with WEX legal counsel, this role oversees the WEX Immigration Program and supports HRBPs, leaders, and teammates with immigration procedures. The role will serve as a business partner with all internal stakeholders (Legal, Tax, Comp & Ben, Payroll, Home and Host country HR, Talent Management) as well as third-party vendors (Immigration, Mobility and Tax) to ensure operational excellence with the highest level of compliance. The role reports to the HR Compliance Manager.
- Serve as SME for end to end case management of immigration policy and processes.
- Provide counsel to business leaders and HRBPs to drive effective decision-making and governance on immigration-related matters.
- Lead the collaboration of multiple internal functions such as Legal, Tax, Comp & Ben, Payroll, Talent Acquisition, Mobility and HR to ensure compliance with various programs, policies and procedures.
- Manage relationships of home and host country support to facilitate transitions for assignments requiring immigration support.
- Measure and maintain metrics in support of continuous improvement and cost containment.
- Serve as primary liaison between WEX and outside immigration counsel
- Maintain and monitor all active immigration cases, gather updated immigration support documents, research and escalate issues
- Communicate with teammates to obtain information and provide updates on visa filings, including meetings/calls to explain immigration situation and arrange meetings with attorneys for additional clarification
- In partnership with legal counsel and internal stakeholders, ensure all paperwork is completed timely and precisely
- Monitor legal developments to stay current with federal immigration laws
- Drive I-9 reverification compliance for visa/EAD holders
- Coordinate and monitor H-1B lottery submissions and green card petitions
- Serve as primary owner in executing requirements when initiating permanent residency case and/or filing visa extensions (including but not limited to physical wall postings, Internal/External Workday job postings, DOL job Postings, External Website Job Postings, Newspaper ads, screening/assessing all applicants and obtaining various data points & documents)
- Respond to immigration questions, resolve concerns and escalate cases as necessary
- Perform other duties as assigned
Qualifications
- Minimum of 2 years of related work experience
- Bachelor's degree in Business, Human Resources, International Relations, or a related field
- Strong proficiency in MS Office Excel, Word, and Outlook and/or similar google suite products
- Effective Communication – Interact with all levels of the organization
