The Database Manager serves on the Advancement team (Development, Admissions, Communications, Alumni Relations) and directly reports to the Director of Development.
The successful candidate will be a highly organized, deadline-driven individual; a self-starter with a positive and resourceful attitude and strong attention to detail. Candidates should have experience in, or an interest in, independent schools and enjoy working with parents, students, and colleagues. Title: Database Manager
Reports to: Director of Development
Position Summary: The Database Manager is responsible for timely and accurate gift entry in the donor database (Raiser's Edge), maintaining donor records, conducting prospect research including pulling reports from WealthEngine, and providing general operational and administrative support for the Development and Alumni Relations teams.
Functions of the job:
Database Management – (85%)
- Process all contributions, record pledges and maintain accurate constituent records
- Prepare and generate reports, queries and mailing lists to support fundraising initiatives
- Ensure that donor financial information is secure and confidential
- Prepare and generate acknowledgements for all donations: gifts, pledges, pledge payments, in-kind donations, etc.
- Maintain accurate records of all charitable gifts, including electronic and physical backup
- Identify and research prospects for annual, major and planned gifts. Analyze and distill information from a variety of resources to produce both in-depth and high-level research profiles.
- Manage and maintain the integrity of constituent data
Administrative – (15%)
- Support institutional data health by communicating any changes to donor contact information to the Integration Specialist – Database & Business
- General administrative duties: i.e. data entry for moves management, scheduling meetings, paper filing, electronic filing, telephone and email communications
- Answer telephone and email questions from donors regarding gifts, matching gifts, etc.
- Assist Advancement Team at Whitfield School with events, meetings and functions as needed (including annual Green & White Gala, Stewardship events, etc.)
- Other duties as assigned, including general support for the day-to-day activities of the Annual Fund and Parent Programs.
Requirements:
- Minimum of 2 years of Development/nonprofit experience
- Functional knowledge of Raiser’s Edge and Blackbaud products preferred
- Experience conducting prospect research and preparing reports
- High level of proficiency in the Microsoft Office suite
- High level of computer literacy, possessing functional knowledge of the internet and Google Drive applications, email communication
- Excellent interpersonal, verbal, and written communications skills
- Excellent organizational and prioritization skills with strong attention to detail
- Ability to organize, plan and carry out multiple activities both independently and as part of a team to meet goals and deadlines
- Exhibit a positive and collaborative attitude, with an ability to adapt to changing departmental needs
- Strong ethical conduct with an ability to uphold confidentiality of donor records
