Job Overview:
We are seeking a skilled and dedicated Personal Injury Medical Records Specialist to join our Complex Litigation team. The ideal candidate will be responsible for managing a caseload of complex litigation claims concentrating on medical records retrieval. The role requires a strong understanding of medical records , excellent organizational skills, and the ability to provide exceptional client service.

Responsibilities:
1. Medical Records Retrieval:
o Obtain and compile all medical records/billing relevant to personal injury cases.
o Coordinate with healthcare providers and facilities to ensure timely retrieval of records.
2. Payment Processing:
o Coordinate with billing departments to manage the payment process for obtaining medical records
o Ensure adherence to budgetary constraints while acquiring necessary records.
3. Record Organization:
o Accurately organize and catalog medical records for easy accessibility.
o Maintain a systematic filing system for efficient record management.
4. Data Entry:
a. Enter pertinent information from medical records into the firm's case management system.
b. Ensure accuracy and completeness of data entered.
c. Accurately input payment information and record retrieval details into our case management system.
5. Record Review and Summarization:
a. Review medical records to identify key details relevant to legal cases.
b. Summarize medical information for use by legal professionals.
6. Collaboration:
a. Work closely with legal teams to provide necessary medical documentation for case preparation.
b. Communicate effectively with attorneys and paralegals regarding medical record requirements.
7. Vendor Coordination:
a. Collaborate with external medical record vendors to streamline the retrieval process
b. Implement strategies to ensure timely and efficient retrieval of medical records
c. Monitor and track progress to meet deadlines and case requirements
d. Work closely with vendors or medical records department, to prepare affidavits affirming the authenticity and relevance of retrieved medical records.
e. Ensure affidavits comply with legal standards and enhance the admissibility of records.
Qualifications:
o Previous experience in a medical records-related role, preferably within a legal setting.
o Familiarity with HIPAA regulations and confidentiality requirements.
o Familiarity with medical billing processes and payment negotiations
o Strong organizational skills and attention to detail.
o Proficient in data entry and record management.
o Excellent communication skills, both written and verbal.
Education and Certification:
o High school diploma or equivalent required.
o Additional certification in Medical Records Management or related field is a plus.
