Position Summary:
The Computing and Data Science Administrative Coordinator is a new, 0.6 FTE position (25 hours per week). The position will report to the Provost's Office, and will be charged with supporting the University's Computing and Data Science programs, as well as the grants administrative and reporting activities for the University's US Department of Education Title III grant that supports these new programs. This will include helping to ensure that the grant timeline is followed, tasks are completed, and the project remains on schedule. The Program Coordinator will schedule meetings with key faculty and staff, establish communication methods with affiliated offices across campus, maintain program budgets, and assist with writing and submitting timely federal government reports.

JOB DESCRIPTION

Provide administrative support for US DOE Title III grant project to ensure that the grant timeline is followed and required tasks are completed, including:
  • scheduling and attending grant-related meetings with faculty and staff
  • sending meeting reminders
  • taking and distributing meeting notes
  • tracking project spending and maintaining budgets
  • communicating with the program and other related staff
  • collaborating with campus offices regarding program-related activities and topics
  • coordinating with faculty, staff, and the University Grants Office to prepare and submit required reports to the U.S. Department of Education



The position will also provide general department administrative support, including:
  • serving as a front-line support for students and faculty in the program
  • performing general office duties, such as ordering supplies, and performing basic bookkeeping work (e.g., purchase card reconciliation)
  • processing credit card and expense reimbursements
  • supporting Willamette's Center for Quantitative Understanding, Analysis, and Design (QUAD Center)
  • processing departmental payment requests
  • attending and taking minutes for departmental meetings
  • helping to coordinate special events for the program (including guest speakers, commencement activities, and faculty searches)



The person in this position plans and performs diverse activities requiring an acquired knowledge of best practices regarding policies and procedures, and involving the exercise of judgment in the analysis of facts or situations. Strong interpersonal and verbal communication skills are necessary to exchange information with individuals inside and outside the University. Superb organizational skills, meticulous attention to detail, a willingness to research answers to help address questions, and a friendly demeanor are essential.

  • Demonstrated organizational skills, with the ability to handle and prioritize multiple projects in a deadline-driven environment.

  • Demonstrated proficiency of computer skills.
  • Ability to maintain confidentiality.
  • Ability to work independently.



Preferred Qualifications:
  • Experience administering or coordinating federal grant.



Physical Demands & Working Conditions

Typical work is performed indoors in a normal office environment.

Salary: $18.68/hour
