Office Manager / Administrative Assistant
#1 PRIORITY IS INCOMING CUSTOMERS
LOOKING FOR ENERGETIC, ALWAYS SMILING, MEMORABLE, RELIABLE, HELPFUL RECEPTIONIST ALL CALLERS WILL FEEL HELPED AND WELCOME
-Run off staff of 14 employees (consisting of 10 field crew and several office staff) daily. Facilitate a smooth running day for all employees and customers to experience a professional, kind experience in each day. Help staff make and achieve goals to become more knowledgeable and better trained to fulfill their present and future job duties. Coordinate and oversee all systems are followed by employees and customers. Monitor feedback from customer experiences and employees visions. Maintain office morals and culture are followed and enjoyed. Plan and organize staff meetings, functions and events.
-Supervise and back up Answering telephones (average 75 a day)
- Supervise and back up Check voicemails (respond asap)
- Supervise and back up Check texts - text anyone who call old telephone number (respond to all)
- Supervise and back up Check Emails - (answer everyone who emails us) (average 75 a day)
LOOKING FOR DETAIL-ORIENTED INDIVIDUAL WHO ENJOYS SEARCHING AND COMMUNICATING FACTS/DETAILS TO HELP MAKE THE JOBS RUN SMOOTHER FOR OUR CUSTOMERS AND EMPLOYEES
- Supervise and handle Human Resources, new hire, exit employees, company handbook and all files
- Supervise and back up Create schedule event on calendar if we do need to return and create materials needed
- Supervise and back up Update Calendar to have job set-up with est, collection cost, and material list
- Supervise and back up Call customers to see if they received our estimate emailed daily
- Supervise and back up Input Appts. into Calendar for estimates and service calls
- Supervise and back up obtaining all permits, registrations, OUPS, work orders with power companies, inspections, disconnect and reconnects and track events
- Supervise and back up Schedule Future Work
- Supervise and back up Make sure calendar is updated, morning to do’s done, confirmations complete (attach estimate, collected amount). Confirm (time, address, job) next day appointments
-Post on social media weekly and coordinate updating of website and keeping information current
