What are the responsibilities and job description for the Assistant Executive Director position at Women's Care Center?
Essential Functions:
I. AAAHC
· Assure we are meeting all standards through compliance
· Complete necessary reporting within the organization.
· Coordinate proper updates to manuals and policies
II. Fundraising
- Prepare an annual plan for the fundraising activities within the community
- Design, implement, coordinate, and evaluate programs in the following areas of fund development: annual giving, major gifts, planned giving, special events, donor development, grants, and other ongoing activities
- Participate in establishing the overall strategic plan for the clinic
- Develop relationships with individual donors and community churches; cultivate these relationships to expand the ministry’s donor base
- Report, in a timely manner, the progress, effectiveness, and efficiency of development programs conducted by the clinic; identify problems in meeting objectives and recommend solutions
- Develop and maintain a working knowledge of computer software programs specifically designed to facilitate accurate donor and prospect information
- Update policies and procedures that provide for regular back-up of donor files and procedures for safeguarding donor and prospect database to ensure the protection and integrity of historical data
- Accept assignments not specifically delineated above as requested by the Executive Director
III. Marketing
- Develop and maintain strong working relationships with key contacts within the community; this includes businesses, civic groups, churches, and philanthropic prospects; identify potential fundraising opportunities within these groups and recommend a course of action for entering these markets
- Initiate and share public speaking opportunities in order to educate and/or update groups willing to support the clinic.
- Prepare an annual marketing plan targeting those who need our services.
- Develop the ministry’s public relations and marketing efforts including, but not limited to, colleges, social media, websites, promotional brochures, billboards, and community appearances by board, staff, and volunteers. These will be directed appropriately to our target audiences.
IV. Human Resources
- Inform employees of training opportunities through affiliate conferences, webinars, the WV state coalition, and local offerings.
- Provide an awareness of employee benefits as qualification arises, i.e. increased vacation days, participation in organizational pension plan.
- Track employee data consisting of time worked, paid and non-paid days off.
V. Financial Transactions
· Pick up and open mail
· View financial donations
· Make bank deposits
· Approve payment of invoices
· Review monthly and annual finance reports
· Work with the CPA firm on completing the financial audit
VI. Facility Management
· Request that maintenance personnel complete unscheduled tasks
· Establish new security codes when needed
· Problem-solve any telephone and/or internet interruptions.
· Upgrade equipment when necessary
· Assure the building has good curb appeal and has a clean interior environment.
