What are the responsibilities and job description for the Customer Service Manager position at Women's Care?
Provides professional supervisory support to clerical staff following established standards and practices. Functions as an active member of the Unit’s clerical support staff. Refers matters outside their scope of duties to the Unit Administrator.
Work closely providing support services with the Administrator, Billing Supervisor and Clinical Manager
Help supervise the day to day functions of patient and office flow
Receive and process all maintenance requests, prepare maintenance work orders
Responsible for managing all vendor relationships
Order all business and office supplies, maintain inventory and process receipts
Manage, train and understand all clerical positions for all locations to include; Billing, verification, Front Office, Scheduling and Medical Records
Responsible for all clerical staffing needs. Including; hiring, counseling and terminations as necessary
Process/Approve PTO requests and arranges staff coverage
Process time card corrections for all clerical staff in the Paycor system
Create and organize monthly news letter and events for employees (including staff birthdays, anniversaries, fun facts, etc)
Be able to step in and help in all clerical areas at a moment’ notice.
Handle billing issues, corrections or instruction as needed
Respond to any patient complaint or issue that may arise
Keep all locations stocked with informational brochures and pamphlets
Performs other duties as assigned.
Attends required meetings and participates in team activities and professional development activities.
High School diploma or equivalent
Minimum five years supervisory experience with proven leadership, communication, team building and organizational skills.
Minimum four years clerical experience in a medical office environment
Ability to multi-task in a stressful deadline-oriented environment
Ability to use a computer and enter data in an electronic medical record system
PREFERRED QUALIFICATIONS:
OB/GYN experience a plus
eCW electronic medical record experience a plus
