LEGAL ASSISTANTS JOB DESCRIPTION
Position Summary: Legal assistants are required to strive to solve our clients' problems in a highly personal, responsive, timely, courteous, honest, respectful, and efficient manner and deliver the highest quality legal work. They focus on maintaining clients who are satisfied with our work and the results they receive. Our legal assistants play a key role as liaison between attorneys, paralegals, and clients. Our legal assistants are expert time and schedule managers - for themselves and the attorneys they support. Our legal assistants are critical in the maintenance of the Firm's case management system. They are "expediters" who help attorneys and paralegals build and maintain successful, profitable legal practices. Our legal assistants will also have case management responsibilities for a limited number of case files. The nature of our firm's professional practice requires our legal assistants to be knowledgeable and experienced in all aspects of the firm’s business and Washington and federal court civil litigation procedures.
RESPONSIBILITIES
File Management and Maintenance
o Confirm files opened in Prolaw (database case management system) and ensure all changes to files are updated (contacts, case parties, addresses, telephone numbers, etc.)
o Monitor physical and electronic file-opening process and ensure file is opened
o Maintain filing in case file
o Maintain confidences and secrets of our clients
Calendaring
o Maintain and update attorneys' calendars
o Calendar and track all due dates and all files assigned to attorneys.
o Confirm all appointments for attorneys
o Confirm all motions with proper court
o Calendar relevant dates according to the Calendaring Memorandum
Clerical
o Provide secretarial support for attorneys and paralegals
o Provide the highest caliber of secretarial support for attorneys and paralegals, mastering and efficiently using
Legal Software
Voicemail
Court and other government filing platforms
Recordings
o Provide secretarial support for attorneys and paralegals by ensuring all documents sent from the firm are of the highest professional standards, conform with all court size, formatting, and transmission requirements and all Wong Fleming firm formatting requirements utilizing firm templates
o Problem solve and serve as liaison between clients and professional contacts
o Prepare notebooks, exhibits, charts, and merge mailings
o Review and finalize all correspondence and pleadings generated by attorneys
o Mail retrieval
o Fill out routing, messenger, and registered mail slips
o Occasional receptionist fill-in
o Coordinate service of documents
o Send and file electronic and paper faxes originating from the firm
o Attach fax confirmation page with date and time stamp when fax was sent; return to originator
o Monitor mail and original copies received by assigned attorneys and respond and/or handle as directed
o Arrange for court reporters and witnesses as directed by attorneys
o Update and maintain pleadings as directed by attorneys
o Update client spreadsheets
o Maintain and update form files
Deliveries
o Date and time stamp all deliveries and enter receipt in Delivery Log at reception.
Revenue Responsibility
o Legal assistants will be individually assigned an annual revenue target to be billed and collected. Meeting or exceeding target will enable a legal assistant to be considered for bonus
Meetings
o Coordinate conferences, meetings; schedule depositions, court dates, and appointments for attorneys and paralegals
o Work with receptionist to ensure conference rooms are clean, orderly, and stocked prior to meetings
o Work with receptionist to ensure conference rooms are cleaned following meetings
QUALIFICATIONS
High School Diploma; Community College and/or University degree preferred. Legal secretarial certificate and/or 5 years legal secretarial experience. Bondable.
DESIRED SKILLS
Ability to handle large and varied case/project load.
Ability to balance priorities and follow through on complicated tasks.
Ability to work productively with minimum supervision. Attention to spoken and written detail.
Ability to take notes during meetings (shorthand preferred), transcribe from notes and tapes.
Word processing 80 wpm, working knowledge of Word XP. Working knowledge of or aptitude for learning database and other software programs
Reports to: Managing Partner or her designee
Hours: 8:30 a.m. - 5:00 p.m.

Pay: $22.09 - $28.00 per hour
