Job Overview:
The Community Coordinator will assist the V.P. of Finance and other construction departmental managers with day-to-day tasks, providing support by handling various administrative details and managing various reports, processes procedures or systems. The Community Coordinator will handle multiple tasks and personalities while maintaining a consistent positive attitude. In addition, the Community Coordinator will Perform a broad range of administrative duties for the Sales, Project Management, Purchasing, Construction and CS departments, including correspondence, reports, agendas, and exposure to confidential information.
Physical Requirements:
- Requires good vision and depth perception, good hearing, and speech. Keyboard input, as well as other demands that may come with a clerical position.
- Driving to and from communities and municipalities and the Division office. Ability to walk on uneven terrain in all weather conditions.
- Other physical demands will include bending, filing, and sitting for extended periods of time.
- Must be able to lift up to 40 pounds. (For example, heavy sets of plans or file box)
Environmental Conditions:
The Community Coordinator will generally work inside an office environment but will also be required to travel to municipalities as needed.
On occasion, will also travel to jobsites and will walk in or through construction zones that are exposed to hazards and uneven terrain in both hot and cold weather.
Duties and responsibilities include the following:
- Create permit applications.
- Submit building permit applications and work with cities to get them approved in a timely manner
- Verify and pay school fees, permits fees and other municipality fees
- Pay connection water and sewer fees and obtain water meters.
- Maintain permit and impact fee tracker schedules, update as needed.
- Monitor and coordinate new starts with Resource Planning Manager
- Process model home sales office permits/bonds
- Create preliminary, revised, and final sequence sheets.
- Upload documents, including sequence sheets to Build Pro
- Distribute sequence sheets to appropriate parties.
- Provide reports from SharePoint to support team initiatives.
- Navigate City and School websites and online programs as they relate to building permits.
- Process required solar documents/permits if applicable.
- Manage both physical and electronic lot files.
Sales and Escrow
- Process all necessary documents for recordation of Sale.
- Ensure all necessary sales documents are received within 30 days of recordation of sale including: CCR, SB 800’s and sales disclosures
- Verify all Base Prices, Options, Lot Premiums and Incentives are accurately reflected in JDE prior to close of escrow
- Open and manage escrows with Title Company
- Process all Deed packages and ensure delivery to title company.
- Process sales contracts, addendums, construction orders
- Review and approve Estimated Settlement Statement prior to close of escrow.
- Tracking escrow status on responsible communities.
- Review IMT report for construction status, walkthrough dates and accuracy of projected close dates.
- Leading weekly community team meetings and division backlog meetings.
- Enter base prices and premiums in JD Edwards for sales releases.
- Coordinate with Sales and Construction to ensure selected options are integrating properly from Sales Simplicity to JDE to Build Pro.
Purchasing
- Lump-sum entries for design center and budget only bid contracts
Cost Management & PO’s
- Ensure proper procedures are completed for all new starts for JDE, BuildPro and Sales Simplicity
- Select plan/elevation, garage hand and options as shown on plot plan request
- Complete monthly lot scrub process on all closings and communicate variances to management
- Review monthly Option Margin detail report and communicate variances to management
- Process appliance orders to GE
Construction
- IMT input plan elevation and lot number at time of permitting.
- Sequence and group lots in Build Pro and start build as instructed by RPM.
- Order and manage plot plans.
Customer Care
- Provide reports form SharePoint and Medallia to support team initiatives.
- Enter warranty work orders for customer care representatives as needed.
Other Responsibilities
- Participate in 4 Disciplines of Execution (“4DX”) and other company programs/initiatives as required.
- Participate in community events.
- Work with Community Teams to resolve problems and improve processes to provide an exceptional customer experience
- Identify and bring to the attention of the VP of Finance and Division President issues requiring their oversight
- Provide coverage for other community coordinators who are out sick or on vacation
- Assist in training other community coordinators.
- But not limited to…..(may be required to assist in areas not mentioned above)
Minimum Qualification Requirements:
Education:
- High School Diploma or G.E.D. required.
- A two-year college degree or previous experience is a plus.
Experience:
- Three (3) years of experience in the construction business or equivalent preferred, but not necessary.
- Knowledge of Microsoft Office Suite (Word, Excel, PP, etc.)
