1. Job Summary:
The Receptionist is responsible for assisting customers, visitors, and team members in a professional and efficient manner adhering to the core values of the Association. The incumbent will also provide administrative support to others in the office to maintain an efficient office environment.
2. Essential Functions:
- Answer phones, screen and direct calls, take and relay accurate messages in a professional and efficient manner
- Provide information to about the YMCA which may include assisting with inquiries or requests
- Greet and direct visitors to the correct destination
- Coordinate messenger and courier service
- Receive, sort and distribute incoming mail
- Prepare outgoing mail for distribution
- Update and maintain contact lists
- Provide administrative support which may include purchasing, faxing, scanning and copying documents, data entry, preparing documents and reports, organizing meetings, scheduling appointments
- Assist with various projects as needed
- Keep the front office area clean and organized
3. Relationships:
This reporting structure varies on location. The incumbent interacts regularly with the public, visitors, customers and team members. The incumbent has no budgetary or supervisory responsibilities.
4. Qualifications:
Required:
- High School Diploma or equivalent
- Minimum of 1 year experience as a front desk receptionist
- Minimum of 3 years administrative experience
- Exceptional communication and customer service skills
- Proficient in Microsoft Office, Word, Excel, PowerPoint and Outlook
- Ability to represent the YMCA in a professional and positive way
- Must be able to solve problems, stay organized and have strong attention to detail
- Must be customer focused and actively look for ways to help others
- Ability to work with a diverse population
- Ability to work independently with a variety of duties
5. Work Conditions:
- Must be able to sit and work on a computer for extended periods of time.
- This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
- While performing the duties of this job, the employee is regularly required to talk or hear.
