Job Overview:
We are looking for an Office Manager to organize, coordinate, and execute administration duties and office procedures. Your role is to maintain our small co-working spaces located in Leesburg, VA by giving tours and managing communication with potential clients in addition to ensuring a productive and positive environment for our existing clients.
Ideally, the Office Manager should be able to ensure the smooth running of the office and help to improve company procedures and day-to-day operation.
Responsibilities:
- Manage communication with prospective clients through HubSpot
- Manage front desk of co-working spaces
- Manage supplies and inventory in office
- Office equipment maintenance
- Organize the office layout and order stationery and equipment
- Maintain the office condition and arrange necessary repairs
- Ensure that all items are invoiced and paid on time
- Manage contract and price negotiations with prospective clients
- Completes operational requirements by scheduling and assigning employees; following up on work results.
- Keeps management informed by reviewing and analyzing special reports; summarizing information; identifying trends.
- Maintains office staff by recruiting, selecting, orienting, and training employees.
Requirements:
- Proven experience as an Office manager, Front Office Manager or Administrative Assistant
- Proficiency in MS Office (MS Excel and MS Outlook, in particular)
- Hands-on experience with office machines (e.g. fax machines and printers)
- Familiarity with CRMs (HubSpot or similar)
- Attention to detail and problem solving skills.
- Excellent written and verbal communication skills
- Strong organizational and planning skills in a fast-paced environment
- High School degree; additional qualification as an Administrative assistant or Secretary will be a plus
