Position Summary: The Parts Manager is responsible for managing the Parts Department in a profitable and professional manner that is consistent with Route 24 Auto Group’s core philosophies, principles, and values.
Principal Duties and Responsibilities:
- Attain profitability objectives using proper purchasing procedures, inventory control, staff utilization, security, pricing, merchandising, and advertising. Analyze monthly to maintain goals.
- Effectively assemble, motivate, train, mentor and provide leadership to a team of parts associates.
- Create a collaborative culture that maximizes each employee’s individual potential.
- Ensure that all company policies, procedures, programs, and strategies are followed and executed effectively.
- Set a professional standard that always reflects favorably on The Company.
- Report any situation or condition that would jeopardize the safety, welfare, or integrity of the dealership, its customers, or employees to management.
- Prepare and administer an annual operating budget for the parts department.
- Maintain a balanced inventory consistent with the requirements of the service department, body shop, wholesale accounts and the do-it-yourself public.
- Establish pricing parameters in each customer category that generate sufficient gross profit to produce a satisfactory profit while maintaining customer loyalty.
- Establish individual parts inventory levels and balance them for maximum turnover.
- Ensure that parts inventory turns __X___ times per year.
- Monitor and adjust inventory to minimize obsolescence.
- Ensure all parts are properly tagged so the dealership recovers full credit from the factory.
- Supervise stock order procedures.
- Set and enforce a policy on the special ordering of parts. Ensures that stock orders represent at least __X___ percent of all orders.
- Ensure that the same high-quality level of service provided to outside customers is also provided to internal dealership customers.
- Work with the Service manager and Body Shop Manager to ensure a timely turnaround of parts needed for internal jobs.
- Attend and hold meetings as needed.
- Analyze departmental operations and storage layout and revise as needed for maximum effectiveness.
- Monitor parts department employee timecard and payroll records.
- Coordinate a prompt, efficient and timely flow of paperwork and submit all necessary invoices, paperwork and information needed by the office for monthly reconciliation in a timely manner
- Direct shipping and receiving efforts to ensure timely processing.
- Direct outside parts and counter sales efforts, including a telemarketing program to keep in contact with customers.
- Develop sales promotions
- Take advantage of all manufacturer inventory co-op advertising.
- Develop, enforce, and monitor guidelines for working with customers to ensure maximum customer satisfaction.
- Handle customer complaints immediately and according to the dealership guidelines.
- Ensure that all dealership purchases are properly accounted for before payment is made.
- Assist in the collection of past-due accounts.
- Maintain professional growth and development through self-directed learning activities and involvement in professional organizations
- Encourage a high work ethic by demonstrating appropriate and acceptable behavioral skills
- Enforce safety requirements, including but not limited to, forklift training and operation, processing of MSDS sheets on all products carried and OSHA Right-to-Know.
- Always maintain a professional appearance and demeanor, including work areas
- Understand, keep abreast of, and compliy with federal, state and local regulations that may affect parts sales.
Certificates/Licenses/Skills:
- 5 years’ experience as a Parts Manager or Assistant Parts Manager with proven track record
- Must be proficient in Microsoft Office Suite including Word, Excel, and Outlook
- Must be able to proficiently use CDK and Reynolds and Reynolds
