  • POSITION SUMMARY

    The Program Administrator oversees programs, services, and House Managers for designated residential group homes. The Program Administrator fosters a team approach between staff to ensure that clients live and work in a positive and nurturing environment while treating clients with dignity and respect to facilitate all activities of daily living in a community environment. Responsibilities include direct supervision of House Managers.

    ESSENTIAL DUTIES AND RESPONSIBILITIES

    • Supervises House Managers.
    • 24-hour on call responsibilities rotated between Program Administrators.
    • Conducts routine and timely staff performance evaluations for House Managers and counsel staff when necessary to effect change. Responsible to follow-up with documented employee improvement plans when necessary.
    • Orients newly hired staff to policy and procedures, the homes, and to the clients' specific support needs.
    • Develops and implements the Personal Support Plans for each client in accordance with the Personal Support Plan manual.
    • Train and support House Managers to ensure goals and objectives are met.
    • Utilizes approved data management system for incident reports and communication. Monitors and follows up as needed.
    • Ensures all quarterly reports are submitted accurately and timely.
    • Keeps the team informed of program activities, client needs, and potential staff training needs.
    • Assists clients when necessary.
    • Communicates any updates to guardians.
    • Actively seeks out community connections and facilitate regular community engagement.
    • Responsible for client finances and spend-downs.
    • Maintains client file in group homes and main client file in Center in conjunction with House Manager.
    • Makes sure schedules are in accordance with approved budgeted hours.
    • Reviews and approves timecards for accuracy.
    • Completes review of monthly financial reports.
    • Conducts monthly audit of each home.
    • Takes proactive approach to prevent unsafe acts and keep clients and staff as safe as possible from potential harm.
    • This position is responsible for overall direction, coordination, and evaluation of employees as outlined by the organization's policies and applicable laws.

    EDUCATION / EXPERIENCE / SKILLS

    • Bachelor's degree from accredited four-year college or university or four years of related experience and training or equivalent combination of education and experience.
    • At least one year of experience working with developmentally disabled persons required.
    • Minimum of one year of experience in a leadership or supervisory role preferred.
    • Ability to problem solve when issues arise.
    • Ability to read and interpret documents such as procedures, protocols, and other reports pertaining to client care.
    • Ability to write routine reports and other correspondence.
    • Ability to speak effectively before groups of customers or employees of the organization.
    • Ability to add, subtract, multiply, and divide in various units of measure, using whole numbers, common fractions, and decimals. Ability to compute a rate, ratio, or a percentage, and to draw and interpret graphs.
    • Reasoning ability to apply common sense understanding to carry out detailed written and/or oral instructions and deal with problems involving concrete variables in standardized situations.
    • Ability to comfortably utilize computer software such as Word, Excel, iCare Manager, and e-mail.
    • Possession of valid Driver's License with acceptable driving record.
    • Proof of auto liability insurance in accordance with Montana law, and insurability with The Arc as insurer of record.

    PHYSICAL DEMANDS

    • Perform two-person client transfers which may be more than 100 pounds
    • Frequent rotation of standing, walking, and sitting to perform duties.
    • Ability to communicate by talking and hearing.
    • Ability to visualize reading materials, colors of items, appropriate depth perception, and ability to adjust visual focus.
