General Summary
Assists the Accounts Payable Manager with accounts payable functions, including such activities as ensuring timely payment of all vendor invoices and the maintenance of accurate records.
Primary Responsibilities
- Reviews expenses daily to ensure adherence to agency policies, deadlines and quality standards
- Reconciles financial data, including monthly vendor statements; researches any discrepancies as required.
- Assists during Audits by providing support and documentation on internal processes and procedural requirements for accounts payable.
- Assists in responding to staff and vendors to questions regarding accounts payable procedures and data.
- Maintains financial information, files and records (e.g. scan copies of paid invoices, checks, documentation, contract related info and W-9’s into Vendor files in MIP accounting software). Ensure the availability of documentation and compliance with established policies and regulatory guidelines.
- Performs pre-audits of all invoices to ensure accuracy and appropriateness prior to payment and monitors account balances and related financial activity to ensure that allocations are accurate and comply with appropriate policies and regulations.
- Assists in the preparation of year end 1099s.
- Maintains confidentiality of all organizational information.
- Participates in meetings, in-service training, workshops, etc. as requested.
- Performs other duties as assigned.

An Associates degree in business related field. 4 years of accounts payable experience may be substituted for education.

- Proficient in the use of Microsoft Office software programs, specifically with Microsoft Excel.

Physical Requirements
Light to medium physical duties include standing, walking, reaching, bending, hearing, talking for up to eight (8) hours a day. Must be able to work on a computer for a minimum of 6 hours a day. Must be able to lift twenty (20) pounds. Lifting will be primarily confined to occasional on premises lifting of boxes of office supplies and minor office equipment. Non-physical demands include performing multiple tasks simultaneously, the ability to meet multiple deadlines, judgement decisions and working closely with others as part of a team.
