Accounts Payable Manager manages accounts payable functions to ensure compliance with internal controls and accounting policies. Ensures timely payments of vendor invoices and expense vouchers and maintains accurate financial records and control reports. Being an Accounts Payable Manager routinely reviews applicable accounting reports to identify trends, inefficiencies, and opportunities for improvements or cost-savings. Reviews and evaluates the accounts payable register to ensure accuracy. Additionally, Accounts Payable Manager designs and implements standard policies and procedures to ensure accurate and compliant accounts payable records. Requires a bachelor's degree. Typically reports to a director. The Accounts Payable Manager manages subordinate staff in the day-to-day performance of their jobs. True first level manager. Performs various office and clerical duties. Office and clerical duties may be assigned in accordance with the office procedures of New Choices, Inc. Office duties may be held in various departments.
Essential Functions:
· Open AP bills, alpha, stamp, date, place in folder for the following week
· Enter AP bills weekly
· Code Home Health nurse and HCA Mileage
· Data entry Mileage/Employee expense reimbursements in several software (Wizard, Access, GP)
· Stamp mileage checks and give to payroll staff
· Stamp and mail AP checks
· Attach AP check stubs to bills and file
· Pull FYE AP paid bills; label boxes/manila folders and file in boxes; place boxes in onsite storage
· May attach payroll stubs to timesheets and file
· Enter bank deposits
· File AR papers daily
· Calculate NOD approved units; enter units into Wizard; file NODs
· Receipt monies daily, copy receipts; send receipt copy to payee
· Enter Consumer bills, spending monies, print checks
· Stamp and mail consumer checks; file bills/check stubs
· Enter consumer bank deposits
· Update Contract books as contracts are in file tray and file old contracts
· Check supply order requests, assure reasonable pricing and quantity before approval
· Maintain inventory; organization of supply rooms; stock; lock/unlock supply room at set times
· Monthly AR claims billing
· Make flower pens for offices as needed
· Restock paper/plates/utensils in financial kitchenette area weekly & assure microwave is clean at all times
· Cross-Train and cover duties in other financial positions during staff PTO/leave of absence
· Make AR claims calls daily on claims issues; dispute/fix/adjust claims after issue is determined
· May assist Accounts Receivable staff with entering AR payments and claims calls as needed
· Assist Chief Financial Officer with projects and data entry as needed
· Communicates effectively and timely with CFO
· Maintains a positive rapport with co-workers and consumers
· Complete other job duties as assigned
