We are an independent, locally-owned health and Medicare insurance agency looking for an enthusiastic, detail-oriented individual to serve as an Administrative Assistant / Medicare Account Manager.
This candidate will play a crucial role in supporting the efficient operation of our agency, as well as providing administrative support to 3 internal Medicare Sales Agents. This position requires excellent organizational skills, a strong commitment to accuracy, and the ability to joyfully engage with current clients and prospective clients.
Responsibilities:
- Client Support: Serve as the first point of contact for clients, providing assistance with inquiries, scheduling appointments, and directing them to the appropriate resources within the agency.
- Administrative Support: Perform general office duties such as answering phones, responding to emails, filing paperwork, and maintaining office supplies inventory.
- Data Entry and Record Keeping: Accurately input and maintain client information and other relevant data in our systems while ensuring compliance with Medicare guidelines and regulations.
- Documentation Assistance: Assist in the preparation and processing of Medicare enrollment forms, claims, appeals, and other documentation as needed.
- Appointment Scheduling: Coordinate and schedule client appointments for (3) internal Medicare Sales Agents, ensuring timely follow-up and adherence to scheduling protocols.
- Quality Assurance: Conduct regular audits of client files and documentation to ensure accuracy, completeness, and compliance with Medicare standards.
- Communication: Facilitate communication between clients, Medicare Sales Agents, healthcare providers, and other stakeholders to ensure smooth coordination of services and resolution of issues.
- Marketing: Create and manage various social media posts and client-facing publications.
- Training and Support: Provide guidance and support to clients regarding Medicare benefits, eligibility criteria, enrollment procedures, and post-enrollment resources.
Qualifications:
- Education: High school diploma or equivalent. Additional education or certification in healthcare administration or a related field is preferred.
- Experience: Prior experience in an administrative role, preferably in a healthcare or insurance setting. Familiarity with Medicare regulations and compliant marketing practices is a plus.
- Computer Skills: Proficiency in Microsoft Office suite (Word, Excel, Outlook) and experience with electronic CRM systems or similar database software.
- Communication Skills: Excellent verbal and written communication skills with the ability to interact professionally with prospective clients, current clients, referral partners, and the internal team.
- Organization and Attention to Detail: Strong organizational skills with the ability to multitask, prioritize tasks, and maintain accuracy in a fast-paced environment.
- Customer Service: Commitment to providing exceptional customer service and a positive client experience.
- Adaptability: Ability to adapt to changing priorities and work effectively both independently and as part of a team.
- Ethical Standards: Maintain confidentiality and adhere to ethical standards in handling sensitive client information.
