Position Summary:
The Assistant to the Chancellor serves as the executive assistant to the Chancellor for the Ozark Campus. The Assistant to the Chancellor performs a wide variety of professional and
administrative level duties pertaining to the general operations of the Chancellor's Office. This position assists the Chancellor with administrative tasks to include: maintaining a positive environment serving students, faculty, staff, administration; correspondence with internal and external stakeholders; and communicating with the President's office on matters pertaining to Arkansas Tech University. The assistant ensures the organization of the Chancellor's Office, including filing and maintaining historical and current records for policies, contracts, agreements, and correspondence.
Essential Duties and Responsibilities:
Provide administrative support as needed to the Chancellor, Chief Officers, and President's Office, schedules events, meetings, conferences, planning travel, workshops, and appointments for the administration.
Responsible for providing customer service to both internal and external individuals.
Under the direction of the Chancellor, coordinates meeting times, schedules conference rooms, booking of off-site meeting locations, sends out invitations for events, tracks of RSVP's, creating and distributing agendas, take meeting minutes, prepare presentations, and arranging for caterers.
Contacts employees, clients, and vendors on a regular/as needed basis to coordinate activities.
Maintains campus calendar, sets appointments, and coordinates travel for the Chancellor's Office.
Prepares materials for Chancellor's meetings, attends meetings, and prepares meeting minutes.
Manages campus reservation requests with third party constituents.
Prepares materials for Chief Officer meetings, attends Chief Officer meetings, and prepares minutes of Chief Officer meetings.
Monitors Chief Officers' calendars coordinates meetings and time out of the office.
Maintain and make decisions on a daily basis regarding internal and external events, conferences, and meetings using software Ad Astra
Provide board support to the ATU President's office for bimonthly board of trustees meetings. Coordinate bi-monthly board items with Ozark campus administration, ensure the timely entry of agenda information for the online website-BoardDocs.
Collaborates with the President's office on university meetings, etc.
Attend bi-monthly Executive Council Assistant's meetings in Russellville for collaboration
Support purchasing requirements for the Chancellor's office, researching items and obtaining price quotes, entering information into Banner for purchase requisitions, and receiving purchase orders and invoices for three Chancellor's office budgets
Collaborates with the Public Relations office on ordering of invitations and promo items for campus events, ordering of certificates for student events, layout of programs for events, signage for events, and any other public relations needs on a daily basis
Work with Registrar on spring campus graduation organization.
Work closely with Academic Affairs administrative staff on scheduling of academic events, may include meals
Coordinate with Computer Services for any technology needs for internal and external events
Work with the Advancement/Foundation Office on Foundation requisitions and campus Foundation budget.
Student advisor to the Chancellor's Leadership Cabinet. Solicit applicants and interview applicants along with the Chancellor, schedule monthly lunch meetings, schedule off campus events and tours, work closely with students for assistance on campus events.
Maintain paper and electronic records management, managing spreadsheets, compiling information, i.e., web researching, gathering data information
Serve on various campus and university committees.
Other duties as assigned.

Demonstrated ability to extract and present detailed and complex data in different formats and/or present data-related media clearly and precisely to different audiences
Proficiency in word processing applications, statistical software, tracking and database software, and data collection, analysis, and interpretation tools
Experience in utilizing practices, procedures, and techniques involved in the design, development, and implementation of projects, surveys, and effectiveness and learning assessment studies, and use of the data for decision making and budget allocation
Commitment to secure and maintain confidential information
Proficiency in utilizing university software platforms Banner and ARGOS
Knowledge of applicable laws, codes, regulations, policies, and procedures related to job responsibilities
Ability to redirect questions to the appropriate department or office
Valid Driver's License
Minimum Requirements:
Bachelor's degree from an accredited college or university with 3 years of administrative support experience in education or associate degree in business or related field from an accredited college plus 5 years administrative support experience.
Preferred Qualifications:
Master's degree from an accredited college or university with three years of administrative support experience.
Work Location, Environment and Physical Demands:
This position will be housed in an office environment located on the ATU - Ozark Campus with a work environment that is usually quiet.
Travel in the region will be a requirement serving university partners.
Occasional remote environment as deemed necessary by the chancellor.
The employee is frequently required to sit, stand, and reach with hands and arms.
The employee is regularly required to use hands to handle and touch objects, and to talk and hear. The employee is occasionally required to walk and sit.
The employee must occasionally lift and/or move up to 20 pounds.
Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
