The Director of Program Management is responsible for overseeing and guiding the Program Management team, which includes Senior Program Managers, Program Managers, and Program Coordinators. This leadership role ensures the efficient, timely, and high-quality delivery of programs across a substantial book of business.
The Director will play a crucial role in driving operational excellence, supporting revenue goals, and enhancing client satisfaction through best-in-class project management practices. Additionally, the Director of Program Management will work collaboratively across departments to optimize workflows and strengthen cross-functional alignment.
Job Responsibilities:
- Lead, mentor, and develop the Program Management team, setting clear goals and expectations for performance, quality, and efficiency.
- Foster a culture of accountability, collaboration, and continuous improvement within the team.
- Provide regular coaching and professional development opportunities, with a focus on project management best practices and client service.
- Oversee team performance to ensure projects are delivered on time, within scope, and within budget, meeting quality standards.
- Implement and refine standardized processes and tools to improve team efficiency and support seamless project execution.
- Track and report on project metrics, team utilization, and efficiency to drive continuous improvements and meet business goals.
- Manage the Program Management team’s book of business, ensuring alignment with revenue targets and proactive management of project budgets.
- Work closely with Finance and Account Management to accurately forecast project costs, manage billing, and track revenue.
- Proactively address financial risks within projects, including scope changes, budget overruns, and resource allocation adjustments.
- Ensure the consistent delivery of high-quality projects, adhering to client expectations and industry standards.
- Collaborate with Account Management to develop and implement strategies for enhancing client satisfaction and engagement.
- Establish and monitor quality assurance processes to reduce project risks and improve client outcomes.
- Partner with Account Management, Operations, and other departments to ensure strong alignment and communication on project goals, timelines, and resource needs.
- Lead efforts to strengthen cross-functional workflows, addressing bottlenecks and optimizing collaboration across departments.
- Participate in strategic planning discussions to identify opportunities for growth and innovation in Program Management.
Leadership
- Provide oversight, guidance, mentoring, and training to the team.
- Establish personal goals, objectives, and reporting aligned with key business strategies.
- Manage personnel matters, including performance reviews, approval of expense reports, and requests for time off.
- Ensuring the right people are in the right roles. Identifying and documenting developmental gaps and providing counseling, training and, if required, timely performance improvement plans.

- Responsible for clarifying duties and responsibilities, overall talent management, and succession planning of team.
- Key initiatives, develop a proposal, budget and KPIs, and present to steering committee for approval.

Skills and Abilities:
- Proficiency in the use of Microsoft Office Suite applications, specifically Word, Excel, PowerPoint, Teams, and Outlook
- Proficient with Salesforce
- Strong interpersonal/networking skills
- Resourceful with an ability to solve problems creatively
- Proven ability to complete projects according to outlined scope, budget, and timeline
- Ability to oversee staff and programs simultaneously
- Demonstrates strong presentation skills and ability to write succinct reports

- Budget development experience
- Ability to travel and attend on-site and industry meetings, if required, at least four times a year
Education/Qualifications:
- Bachelor’s degree, preferably in science, communications, and/or business
- Previous account management experience, preferably in a medical communications agency setting (8 years)
Travel/Hours Requirements:
- Up to 25% of the time
- Domestic and international travel
- Position requires work outside of normal business hours including nights and weekends
