Registrar
The Registrar is responsible for all student academic record keeping for prior and current students. The Registrar works closely with Academic Affairs, Institutional Effectiveness, and Enrollment management.
Duties include but are not limited to:
· Organizes, coordinates, and directs the day-to-day activities for the Registrar’s office.
· Serves as the designated Records Officer for the College; certifies official transcripts, graduation requirements, and other enrollment reports; files applicable reports on behalf of the College.
· Plans, conducts, and monitors in person and Jenzabar registration systems; maintains and updates an efficient student record system in accordance with the policies/recommendations of the College and within FERPA guidelines.
· Establishes time schedules for course registration, recording of grades, and grade changes; coordinates system management of pre/co-requisites, and performs transfer evaluations.
· Oversees and troubleshoots the campus student information system including the development of degree audit through software analysis, process mapping, testing, training and documentation. Assists in testing and provides recommendations for system enhancements.
· Assigns, supervises, and formally evaluates the work of Registrar office staff; provides technical support in matters related to student records and admissions activities.
· Develops and implements timelines and work schedules related to admissions, registration, student record keeping operations, attendance, accounting, residency requirement, evaluation of records, matriculation and related activities.
· Develops, designs, and implements various procedures and processes to increase department efficiency and effectiveness. Supervises and participates in the input of enrollment data; establishes and maintains automated records and files; assures accuracy and completeness of input and output data related to Admissions and Records transactions.
· Develops and manages the operational budges for the office; oversees the processing of purchase orders; monitors expenditures.
· Produce diplomas and/or certificates for students cleared for degree conferral; ensure that student has not been placed on hold by the Financial Aid office or Business office prior to releasing the diploma and official transcript.
· Release annual FERPA notifications and updates to students, faculty, and staff. Retain proper proof of release for internal and external audit purposes.
· Responsible for working with the administration to develop institutional FERPA policies and ensuring full compliance of all staff and faculty.
· Obtain student PIN numbers for added verification purposes in accordance with FERPA regulations.
· Compiles data and prepares reports related to the assignment.
· Develops forms, correspondence, bulletins, and information materials for the office.
· Participates in a variety of committees and meetings related to the Registrar’s office, which may involve travel outside of the College.
· Performs and or/assists in the performance of special projects and assignments as director by senior management.
· Supervises the coordination, evaluation and certification of all graduation applications, and oversees the graduation process.
· Performs other related duties as assigned.
Minimum qualifications:
· Bachelor’s degree in related field along with 3-5 years of progressively responsible experience in student services. Master’s degree preferred.
