Assistant Vice President Advancement Services

  • Primary Purpose:
    The Assistant Vice President of Advancement Services is responsible for all advancement services operations, including data management, gift processing, research, pipeline and prospect development, and monitoring the integrity of the information contained in the CRM.

    Essential Functions:
    Responsible for daily oversight of the advancement records, reporting, gift processing and research functions for all three campuses of the University, ensuring compliance with Federal and State regulations.
    Drives new reporting strategies, analysis and maximum utilization of technical tools in data reporting.
    Develops new processes and tools, particularly for any fundraising campaigns that are being planned, launched or conducted by the University.
    Oversees day-to-day operations of Advancement Services to ensure accurate collection, maintenance, and reporting/dissemination of alumni, prospect and donor information as appropriate within State and Federal laws as well as University policy and industry standards. Establish goals and priorities for the department.
    Meets regularly with staff to understand their data needs in terms of reporting, solicitations and list requests.
    Provides training for staff on databases and tools as well as periodic refreshers.
    Serves as the liaison with the university IT department on infrastructure to ensure improvements to the database, testing of updates and security.
    Serves as the liaison with the university finance department regarding gift processing.
    Develops fundraising and alumni engagement dashboards and reports to track progress, trends, and prospect pipeline development.
    Establishes and maintains data procedures to ensure accuracy, security and integration in order to maximize efficiencies.
    Develops procedures to ensure timely and accurate gift processing, receipting, acknowledgments and other related processes.
    In collaboration with division leadership, develops gift acceptance policies and procedures.
    Streamlines reports and lists to support development and alumni relations goals.
    Ensures that all gifts are processed in accordance with Federal and State laws as well as institutional policies and educates campus units.
    Manages department staff and budgets.
    Performs other related duties as assigned or requested.

    Minimum Qualifications:
    Bachelors Degree.
    Eight (8) years of experience in Advancement Services/Development Operations environment.
    Experience in using fundraising data systems and reporting tools.

    Preferred Qualifications:
    Masters Degree.
    Positive attitude, proven ability to work successfully with diverse populations and demonstrated commitment to promote and enhance diversity and inclusion.
    Solid understanding of fundraising and alumni relations programs in a higher education setting including, annual giving, alumni engagement, major gifts, stewardship, planned giving, development research, reporting and analysis, prospect management and capital and comprehensive fundraising campaign structures.
    Working knowledge of IRS gift receipting standards and records management including document imaging.
    Understanding of CASE reporting standards.
    Ability to communicate with technical staff and non-technical staff.
    Understanding of data analysis and the ability to make business decisions and develop strategies based on the analysis.
    Previous experience assessing, selecting and implementing a new CRM.
    Proven ability to effectively use MS Office Suite, specialized database programs, document imaging products and Outlook.
    Experience and sensitivity in working with people of diverse backgrounds and cultures.
    Demonstrated experience in advancing social justice, equity, and inclusion in a university setting.
    Ability to engage and integrate culturally responsive practices and knowledge in their work.

    Work Environment/Work Week/Travel:
    Work performed in standard office environment. Work performed primarily during normal business hours, additional time may be required to meet business needs or deadlines. Occasional travel and possible overnight travel for multi-campus business and training purposes.
