As a Construction Office Manager/Administrative Assistant, you will oversee the administrative functions of our construction office, ensuring efficient operations and supporting the successful execution of commercial construction projects. The ideal candidate will be responsible for managing administrative tasks, coordinating office activities, and ensuring smooth communication within the office environment.
**Responsibilities**
Office Management:
- Supervise and coordinate office activities, including managing office supplies, equipment maintenance, and vendor relationships.
- Develop and implement office policies and procedures to streamline operations and enhance efficiency.
- Maintain a clean and organized office environment.
Financial Management:
- Oversee accounts payable and receivable processes, including invoicing, tracking payments, and managing project budgets.
- Assist in financial reporting and analysis, including budget variance analysis and cost tracking.
- Collaborate with the finance department to ensure accurate and timely financial record-keeping.
- Bookkeeping experience. Quickbooks experience preferred.
HR and Personnel Management:
- Manage employee onboarding and offboarding processes, including maintaining personnel records and coordinating payroll.
- Coordinate recruitment efforts and assist in conducting interviews and selecting candidates.
- Support employee development and training initiatives.
Project Coordination Support:
- Collaborate with the construction team to ensure smooth project operations, including resource allocation, scheduling, and subcontractor coordination.
- Assist in preparing project-related documents, contracts, and change orders.
- Maintain project files and documentation, ensuring accuracy and compliance.
