Contact Center Scheduler is responsible for monitoring the contact center workload and scheduling function. Assists in analyzing contact center patterns, including volumes, trends, attrition rates, and contact center representative productivities. Being a Contact Center Scheduler utilizes the analysis results to forecast contact center workload and builds scheduling plans to meet business objectives. Assists in maintaining and adjusting staffing schedule assignments to maintain contact center key performance indicators. Additionally, Contact Center Scheduler may require a bachelor's degree. Typically reports to a manager. The Contact Center Scheduler work is closely managed. Works on projects/matters of limited complexity in a support role. PRN Pain Clinic Scheduler

  • RESPONSIBILITIES:

    • Follows the guidelines related to the Health Insurance Portability and Accountability Act (HIPAA), designed to prevent, or detect unauthorized disclosure of Protected Health Information (PHI).
    • Promotes a culture of safety for patients and employees through proper identification, proper reporting, documentation, and prevention of medical errors in a non-punitive environment.
    • Considers priorities and special needs of physicians, staff and patients when scheduling Pain appointments and procedures.
      • Schedules appointments and procedures according to policies and physician privileges.
    • Maintains accurate records associated with the scheduling, and processing of patient documentation.
      • Coordinates care with business office, admission and other departments as needed.
      • Coordinates schedule assessing time and equipment availability; physicians time & staffing, identifies conflicts and adjusts schedule as needed.
    • Assumes clerical duties and responsibilities as necessary.
    • Maintains shared drive folders for department as designated.
    • Communicates using e-fax for personnel involved with procedures.
    • Coordinates obtaining diagnostic tests/reports and places reports in appropriate section of patient medical record.
    • Coordinates with insurance verification personnel to ensure authorization is obtained.
    • Calls patient to remind them of their scheduled procedure
    • Reschedules patients as needed
    • Demonstrates the ability to provide technical support receptionist duties to enhance the delivery of patient care when needed, greets staff, physicians, visitors, and vendors, processes orders and registration paperwork.
    • Maintains complete confidentiality of patient and facility information, transports items to and from areas of the facility, stocks records, logs, and statistical information, utilizes the automated system to support the scheduling functions.
    • Communication is clear, concise and understandable, has good rapport with patients and co-workers, listens well, and asks for clarification as needed.
    • Schedular can work under pressure and in situations that demand patience, tact, stamina and endurance, as well as any additional delegated tasks.
    • Ensure effective patient work-up, accurate documentation, and medical records are in place.
    • Assist with patient care as needed, assist in the maintenance of a safe and clean environment.
    • Ability to relate and work effectively within a team, willing to assist others when requested shows a willingness to get involved in the workplace.
    • Detail oriented, identifies problems; researches and identifies cause(s), then responds with a plan or idea.
    • Returns patient phone calls within 24 hours.
    • Looks for new approaches to processes and is able to adapt to new procedures/processes and methods quickly and efficiently.
    • Plans ahead, manages time well, and arrives on time. Responds timely to issues that require a decision.
    • Behave and dress in a professional and courteous manner consistent with facility Standards of Behavior.
    • Performs additional duties assigned.

    QUALIFICATIONS

    • High school diploma or GED required.
    • 2-3 years’ experience in Scheduling – preferred or similar knowledge base
    • Proficient in MS Office applications.
    • Experience with written and interpersonal communication in Medical Terminology
    • BLS Certification required.

    Responsible for assuring that pain procedures and clinic appointments are scheduled in an accurate manner using the manual and automated systems; facilitates telephone messages and usage with a high level of service; assists in medical records management to support accurate completed medical documents.
