    JOB SUMMARY:

    Case Aide is responsible for supporting the case management department to ensure that unaccompanied children and youth receive timely services. Services are provided to children and youth residing in an emergency 24-hour shelter funded by the Office of Refugee Resettlement (ORR). The Case Aide is responsible for making daily phone calls for children and youth to family in country of origin and identified relatives or sponsor located in the U.S. Assists with documenting daily progress notes and filing any documents needed for reunification or case file purposes. Case Aide may assist children and youth in preparing for travel to either home country or U.S. and may assist in conducting audits on case files prior to closing. The Case Aide must ensure that services adhere to Michigan Department of Health and Human Services (MDHHS), Office of Refugee Resettlement (ORR) and company policies. Muststrictly enforce and adhere to ORR’s Zero Tolerance Policy regarding abuse and neglect and all relevant ORR policies and procedures always ensuring the safety of the children and youth.

    ESSENTIAL JOB DUTIES AND RESPONSIBILITIES:

    • Ensures that children and youth on assigned caseload receive daily phone calls to approved family, sponsor or other approved contacts (pro- bono attorney, consulates, ORR), adhering to ORR and/or MDHHS requirements.
    • Document all phone calls in UC portal and phone logs as needed.
    • Coordinate video conference with sponsor, family of origin, and remote Case Mangers (if applicable) and document.
    • May assist in conducting initial intakes for youth and interview regarding potential opportunities for reunification with a qualified sponsor.
    • May assist in completing required assessments with youth and update in UC Portal to include (Initial Intake, Child Rights, PSA, Grievance Procedures, UC handbook, Orientation Acknowledgement, and Legal Lists).
    • Ensures the casefile contains all required documentation.
    • Uploads all UC pictures to UC portal, take pictures of UC, and complete the child’s Central Brief.
    • Conduct an inventory of children and youth personal belongings, store personal valuables in designated safe in CM Office w/ inventory. Must maintain confidentiality and not share personal passwords with non-supervisory staff.
    • Assist in discharge process by compiling any needed program documents, assisting children and youth in contacting family of origin, contacting sponsor, or receiving agency, and coordinating with program supervisor as needed to ensure timely transportation services for children and youth.
    • Documents transportation request in required software system.
    • Completes exit paperwork upon approval of discharge, complete exit checklist, release documents.
    • Dismisses children and youth’s cases in UC portal, store any physical casefile as per policy and procedures securely. Includes gathering medical records and scanning complete file to UC portal and our internal database.
    • Reports any delays for reunification or transportation to Lead Case Manager, assigned case manager and/or program supervisor as needed.
    • Completes comprehensive incident reports to ensure timely communication with department heads regarding the care and safety of children and youth.
    • Assigns daily supplies to children and youth (i.e., clothes, hygiene supplies, etc.).
    • Completes release requests meeting timeframes, upon approval of reunification of children and youth.
    • Assists in coordinating and communicating with other departments as needed regarding children and youth’s renunciation status, and behavioral and emotional needs.
    • Assists in reviewing and conducting audits of casefiles for case closure purposes.
    • Adheres to all timeframes for daily reunification tasks as required by relevant state and federal funding sources. Ensuring complete and thorough documentation in UC Portal.
    • Assists Discharge team as needed.
    • May assist in updating UC Daily Headcounts as needed.
    • May assist in being part of ratio on the floor.
    • Performs other duties as assigned to support the safety of children and youth and their reunification.

    EDUCATION AND EXPERIENCE REQUIREMENTS:

    • GED/High School Diploma required with 2 years of experience working with children and youth and one of those years being in a residential setting. Internship and volunteer hours may be included; or
    • Associate or some college hours in social service field with 2 years of experience working with children and youth and one being in a shelter setting preferred.
    • Proficiency in Microsoft Office.
    • The ability to type and use a tablet/iPad, laptop, or desktop is needed to complete daily tasks.
    • Able to work cooperatively with multiple members of a Team including program staff, state licensing personnel, ORR/Federal Field Staff, and other office personnel.
    • Well organized and highly motivated.

    Job Type: Full-time

    Pay: $35,000.00 - $39,000.00 per year
