    The Portland Art Museum and PAM CUT // Center for an Untold Tomorrow invites applications for the position of Grant Specialist. The Grants Specialist is a member of the Development team which is responsible for fundraising in support of the mission of the Portland Art Museum and PAM CUT (“the Museum”).

    The Grants Specialist is a member of the Partnerships workstream, which includes the foundation, corporate, and government giving programs at the Museum. This person is responsible for the retention of current grants, new grants, stewardship, reporting, and management of the grants portfolio. The role will manage a personal portfolio of 40 grants, contribute to revenue goals exceeding $1.5M and report to the Head of Partnerships. This role is hands-on and collaborates with multiple colleagues and departments within the Museum.

    Essential Duties & Responsibilities

    • Executes the full range of activities required to prepare, submit, and manage grant proposals to foundation and corporate sources and various levels of government and their agencies.
    • Oversee pre- and post-award grant activity, including tracking of deadlines, preparing and submitting requests, managing awards, and compliance with all grant reporting as required by foundation/corporate donors.
    • Leads the Grants Administration process, including liaising with the Finance Department, Curators, Learning and Community Partnerships, and other staff to track project budgets and expenditures for the purpose of complying with grant guidelines and terms.
    • Maintains accurate records and upcoming deadlines; updates pertinent tracking information (e.g. Blackbaud Altru donor and gift records, contracts, budgets, and correspondences).
    • Performs prospect research on foundations and corporations to evaluate prospects for corporate and foundation grants and prepare for meetings with prospective funders.
    • Works collaboratively across departments to build a culture of philanthropy at the Museum, broadening and diversifying the Museum’s base of funders, and actively working towards equity by teaching funders and volunteers about the impact and values of the Museum.
    • Implement and use an equity lens to take a more equitable approach to grant-making, in order to advance to deeper understanding of PAM’s organizational structure, the arts sector, and how funders can enable broader access, equity, and inclusion.
    • Maintains donor relationships through attending special events, personal outreach, specialized opportunities (site visits, tours, etc.), collaboration with other staff, and volunteer engagement. Upholds confidentiality and protects donor privacy by exercising discretion and adhering to all standards and ethics or privacy rights.
    • Works with the development department to formalize internal and external equity goals.
    • Aware of organizational local, state, regional, and national initiatives relevant to grant-making organizations and stays abreast of regulatory changes and ensures that policies and procedures as related to grants are amended as needed.

    Secondary Or Additional Responsibilities

    • Assists with the preparation of corporate proposals as needed.
    • Assists the Finance and Development teams in the review of contract documents and other compliance documentation.
    • Works closely with the Development Associate to ensure accurate and timely gift processing and acknowledgement for grants.
    • Works with the Development Operations Team to ensure proper funder publicity and recognition, including listings in Portal (members magazine), online, and on-campus screens.
    • Performs other related duties as assigned

    • Excellent written communication skills, and experience preparing and delivering concise, understandable, and effective reports, presentations and proposals to a wide audience.

    Education, Formal & Informal Experience, Training Required, Certification, Etc.

    • Bachelor’s degree preferred with 3 years previous experience in fundraising, proposal writing, or client relations required; or equivalent combination of education and experience.
    • Experience writing and managing foundation grants exceeding $25,000 or writing and managing multi-year grants required; experience with corporate and governmental fundraising strategies preferred
    • Experience with Microsoft Office Suite (Word, Excel, PowerPoint) and Customer Relationship Management software (Altru, Raiser’s Edge, Salesforce) preferred.

    • Schedule/Hours: Monday to Friday, 8:00am - 5:00pm (40 hours per week)

    • Budgeted compensation is within pay grade I ($61,002 min - $71,666 mid - $82,331 max), depending on experience
