Overview
We are seeking a dedicated and organized Coordinator to oversee the daily operations of the Family Time program. This role involves scheduling and conducting new parent intakes for monitored exchanges and supervised visitations, creating schedules for supervision staff and monitors, and ensuring that case file documentation is complete and entered in a timely manner. The Coordinator will also produce monthly reports and data and report directly to the Director of Programs.
Duties & Responsibilities
- Conduct intakes and orient new families into the Family Time program clearly explaining program rules and procedures.
- Schedules visits between both parents in a timely manner and documents any deviation from the agreed upon schedule.
- Calm and professional demeanor in stressful and/or combative situations.
- Neutral when dealing with parents who are a part of program.
- Ensure documentation of all parent contact is recorded and kept in each family's case file within 24 hours of contact.
- Prepare and provide copies of records when subpoenaed.
- Testify in court when subpoenaed.
- Invoices and tracs payments for program visits and manages pay due invoices.
- Provides daily coverage of program telephone and email.
- Participates in monthly staff meetings and program meetings.
- Responds quickly and professionally when emergency situations occur.
- Notifies staff and parents of closures, cancellations, changes to operations due to weather, natural disaster or public health emergencies or situations.
- Informs Director of Programs of any reported incidents or mandatory reports to DHR.
Requirements
- Master's degree in social service field, with two years' experience supervising staff, working with children, and/or families, or bachelor's degree in social service field and five years' experience supervising staff and working with children and/or families.
- Must pass a background check.
- Successful completion of Mandatory Reporting and Domestic Violence training, yearly.
- Certification of completion of Protective Factors training.
- Must have strong communication skills; highly responsible and able to deal with difficult situations in a calm professional manner.
- Must have strong writing skills, proficient using Office 365 and other technology platforms.
