Position Summary: The Fixed Asset Accountant (FAA) is responsible to record, reconcile, track, compile and report company fixed assets. The FAA is responsible for ensuring that all departments are following corporate policy with regard to initiating and submitting the company’s authorization for expenditure (AFE). Impeccable organizational skills are a must to succeed in this role. The accurate processing of new fixed assets is extremely important as monthly CAPEX and depreciation expense metrics are highly visible by upper management. The FAA must respond to coding requests from these departments and ensure these departments understand the procedures and rationale for said coding. The FAA must maintain a close relationship with the Construction, Facilities and Information Technologies Departments as these departments request most of the AFEs. The FAA must adapt to a changing environment which includes taking on new responsibilities as processes are streamlined and teaching others about their responsibilities and system functionality. Excellent intra and inter departmental communication skills are essential for success in this role.
Responsibilities:ANALYSIS:
- Maintain a deep understanding of and reconcile various fixed asset related balance sheet accounts monthly including all of the Company’s fixed asset categories as well as the accumulated depreciation of each group.
- Prepare monthly journal entries/direct uploads to Oracle GL and Fixed Assets Module to properly reflect the additions, retirements and transfers as part of the capitalization of fixed assets. Soliciting information from various departments in order to prepare reclassification journal entries which move internal payroll to capital.
- Responsible for reviewing and maintaining all Construction in Progress (CIP) expenditures including communication with each department monthly to determine status of their CIP assets. Exceptional organizational and communication skill is a must.
- Determining when to reclassify Properties Under Agreement from long-term to short based on information provided by the real estate group. Similarly understand when to reclassify various property purchase and sale deposits from long-term to short and vice versa.
- Analyze and retire fixed assets from the Oracle Fixed Asset System. Communicate effectively with all appropriate departments to ensure retirements are correct.
- Provide monthly reporting related to capital expenditures and asset balance roll forwards of YTD activity to the financial reporting team.
- Assist with audit requests.
- Help to review other team member deliverables before being sent to the Supervisor or Manager.
- Ensure compliance with all Company fixed asset policies.
- Maintain a high level of proficiency as to how capital asset transactions flow through Oracle EBS in order to ensure accurate financial reporting and to assist in troubleshooting exceptions.
- Identify improvement opportunities as appropriate to streamline processes and procedures to increase efficiency and effectiveness.
- Ability to effectively communicate any process improvements to other departments in effort to obtain their co-operation in improving said process. This includes working closely with our Information Technology Department in designing programs to increase efficiency.
Working Relationship: The FAA will work closely on a daily basis with members of the General Ledger and Fixed Asset Departments as well as other internal constituencies on a daily/weekly/monthly basis including the Financial Reporting & Analysis, Accounts Payable, Retail Accounting and Information Technology teams. External contacts may include the Company’s internal auditors. Interactions with all of these groups will be via email, phone and in person requiring the FAA to inform, teach, persuade and report information.
Minimum Education: Associates’ Degree
Preferred Education: Bachelor’s Degree in Accounting
Minimum Experience: Intermediate Excel and Word experience
Preferred Experience: 2 to 3 years working in an accounting department with exposure to GAAP for fixed assets
Computer Skills:
- Strong Excel skills including vLookup, pivot table and IF formulas
