Fleet Administrator assists in administrating and coordinating motor vehicle fleet operations. Understands OSHA, DOT, fleet-specific regulations, licensing, registration, and reporting requirements. Being a Fleet Administrator prepares and maintains accurate records of vehicles, insurance, and required regulatory filings and reporting. Coordinates repairs and preventative maintenance scheduling that support fleet vehicle availability requirements. Additionally, Fleet Administrator may assist with safety training and communication programs. May require an associate degree or equivalent. Typically reports to a supervisor. The Fleet Administrator works under moderate supervision. Gaining or has attained full proficiency in a specific area of discipline.     The purpose of this position is to perform a variety of administrative, analytical, and strategic operational duties in support of public programs for the City and/or multiple City agencies. This is accomplished by managing the existing programs; conducting needs assessments; evaluating and implementing processes and procedures; monitoring grants and program contracts; creating new strategies; developing key community partnerships. Other duties include serving as liaison for leadership committees and being a subject matter expert of the programs.

    This is a special at-will position funded by a FTA grant received by Transit annually.



    Essential Job Functions - the basic job duties an employee must be able to perform:

    • Coordinate assigned activities with internal and external workgroups; work with City and contractor staff to ensure effective program oversight
    • Oversee and administer the Fleet Maintenance Service Contract and other vehicle related contracts, including monitoring for contract compliance and invoice accuracy, ensuring industry standards are met, resolving issues, and implementing corrective action plans as necessary
    • Maintain a comprehensive vehicle maintenance plan for the effective purchase, servicing, and disposition of vehicles
    • Ensure all program activities are compliant with federal, state, and local rules and regulations, including Federal Transit Administration required spare ratio, Buy America and other requirements
    • Track, record, and analyze operational data
    • Maintain accurate and detailed vehicle inventory records as part of the asset management program
    • Develop technical specifications for statement of work and ensure contract compliance for vehicles purchase, maintenance, repairs, etc.
    • Analyze problems and consequences; identify proposed actions and alternative solutions; and implement recommendations
    • Recommend best practices to optimize fleet size and usage
    • Manage bus emissions program
    • Maintain fleet vehicle title and registrations
    • Maintain Fleet Maintenance Plan 
    • Bachelor’s degree from an accredited college or university with major coursework in a related area of study.

    • One year of full-time, professional experience in a related field.

    Education and Experience Equivalency: One year of relevant work experience may be substituted for one year of required education (OR) one year of relevant academic coursework beyond the minimum requirement may be substituted for one year of required professional experience.


    • Experience working in a municipal government setting 
    • Experience with Fleet Management Information System database applications, such as COTRAMs and M5
    • Experience with federal grant project management and oversight
    • Experience that demonstrates knowledge of low or zero emission vehicles 

    We are looking for candidates who demonstrate:
    Knowledge of:
    • Project scheduling software
    • Operational characteristics and activities of maintenance programs for buses and other medium to heavy vehicles
    • Methods and techniques of contract development, negotiation, administration, and compliance
    • Methods and techniques of data collection, research, and report preparation
    • Modern office technology and software, especially Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, and Access)
    • Pertinent federal, state, and local laws, rules, and regulations, including regulations governing compliance for grant-funded projects
    • Maintain, track and update budgets for all responsible programs
    Ability to:
    • Prepare clear and concise status and project budget reports
    • Communicate clearly and concisely, orally and in writing
    • Establish and maintain effective working relationships
