What will your day look like?

As our new Event Planner & Administrative Coordinator, you will be responsible for orchestrating and planning  internal and external events while providing administrative support to our organization. You will play an important role in taking our events to the next level while being a trusted guarantor of efficient, high-quality execution and planning.  

More specifically, your tasks will include: 

Event Planning & Execution: 

• Conceptualize, plan and manage internal and external events 
• Coordinate with vendors, venues, and service providers 
• Manage event budgets and timelines 
• Handle on-site event coordination and troubleshooting 
• Create and maintain detailed event documentation 

Administrative Support:  

• Assist with basic office operations and maintenance 
• Support team members with administrative tasks  
   

Who are you going to work with?

You’ll be part of our People Operations team, where you'll find skilled teammates who are always ready to support each other.  

You will work very closely with our Marketing & Communications team and Talent Attraction team - but to a wide extent also the entire VML MAP organization across departments and locations, as events are owned and requested by various teams.

As a person, you are highly organized, detail-oriented, and capable of managing multiple priorities effectively. You remain calm under pressure and demonstrate a keen ability to focus and show enthusiasm for deep-diving into new areas and subjects.  

In addition, you have:   

• The ability to work independently while also able to collaborate effectively with many internal and external stakeholders 
• Proven experience in administrative support roles  
• Strong project management skills  
• Excellent time management and multitasking abilities  
• Outstanding written and verbal English communication skills  
• Proficiency in MS Office Suite
