The Compliance Administrator will assist Chief of Security organize our company’s day-to-day operations. Their job will be to provide clerical support to our managers and employees and coordinate all daily administrative activities. The Compliance Administrator should be highly organized and able to multitask with ease. The Compliance Administrator’s main tasks include creating and maintaining a PILB roster for all staff, creating and maintaining an employee roster, managing office equipment, and booking meetings and events. Our ideal candidate has experience as an Office Administrator, Secretary or relevant administrative role. You should be proficient with office software (e.g. MS Office), including word processors, spreadsheets and presentations. Ultimately, a successful Compliance Administrator should be able to ensure our office procedures run smoothly.
Responsibilities:
· Assist Chief of Security to design and implement all administrative processes and procedures in adherence to organization policy.
· Provide training to all employees for compliance procedures and evaluate application of same in all processes.
· Manage all communication with legal and regulation departments to maintain knowledge on all new rulings in organization.
· Administer all internal audit processes and ensure successful audit of firm every time.
· Prepare and manage all new securities paperwork and submit it to custodian.
· Maintain all knowledge on compliance in security environment.
· Analyze all compliance requirements for various procedures and provide necessary training if required and design strategies to achieve all objectives.
· Manage all communication with various departments in an efficient manner.
· Book meetings and schedule events
· Maintain internal databases
· Submit expense reports
· Keep employee records (physical and digital)
· Maintain a filing system for data on customers and external partners
· Distribute incoming and outgoing mail
· Prepare regular reports and presentations
· Organize, store and print company documents as needed
· Answer and redirect phone calls
· Handle queries from managers and employees
· Update office policies and ensure compliance with them
Qualifications:
· Proven experience as an Administrator, Administrative Assistant or relevant role
· Familiarity with office equipment, including printers and fax machines
· Knowledge of office policies and procedures
· Experience with office management tools (MS Office software, in particular)
· Excellent organizational and time-management skills
· Strong written and oral communication skills
· Problem-solving attitude with an eye for detail
· High school diploma; additional qualifications as an Office Administrator or Secretary are a plus
· Active Nevada PILB Card.
· At least 21 years of age.
· Valid Driver’s License Required.
· Reliable Personal Transportation.
· Pass a comprehensive criminal background.
· Pass Pre-Employment Drug Test including Marijuana. (Marijuana is illegal in the Security Industry).
· Professional appearance and demeanor (trimmed and professional beards are allowed).
· Able to effectively communicate in English (read, write, listen, speak).
