    Duties and Responsibilities:
    Under supervision, responsible for all aspects of a small project or phases of a larger project.

    ·        Responsible for coordinating activities of the project team, identifying appropriate resources needed, and developing schedules to ensure timely completion of the project.

    ·        Communicate with the Program Manager.

    ·        Assign work to subordinate staff.

    ·        Makes recommendations to improve equipment, design, service, or production schedule.

    ·        Organizes and executes activities and special projects.

    ·        Prepares reports, and makes recommendations or determinations based on analysis. 

     

    Job Summary:

      1. Grant reporting- 4 times a year (Sept 1st, Dec 1st, Feb 1st, May 1st.)

    1.       Mid-Year Reporting, using FDA’s Mid-year reporting template.

    (a)    Email report and documents to FDA for mid-year only

    (b)    Documents to send with mid-year include all grant deliverables and below:

    ·        § Performance measurement workbook,

    ·        § Jurisdictional Self-Assessment,

    ·        § Farm Inventory (aggregated), and

    ·        § Copies of Contracts.

    2.       End-of-year reporting, using the FDA’s End-of-year report/continuation application template.

    (a)    Using the Era Commons RPPR website.

    (b)    Report on goal progress.

    (c)    Report on planned goals for the next period.

    (d)    Enter the budget for next year.

    (e)    Attach all supporting documents.

    (f)     Submit a report to the Primary Investigator (PI) and then to FDA’s Grant Coordinator for final submission.

      1. Revise and Update the Strategic Plan

    1.       Organize and designate responsibility for producing safety projects/operations.

    2.       Breakdown each goal into various proposed projects and operations needed to “meet” that goal:

    (a)    A project is definite; it has a start and a finish.

    (b)    An operation is indefinite; it does not necessarily have a finish it is continual or routine.

    (c)    Each project and operation is broken down into objectives (what does “done” look like) and then deliverables (what does “done” look like).

    (d)    Each objective is assigned to a person.

      1. Deliverables

    1.       Major deliverables- Grant Reporting

    (a)    Update the Performance Measures Workbook quarterly.

    (b)    Jurisdictional Self-assessment.

    (c)    Farm inventory (aggregated).

    (d)   “Project manage” all the goals and projects for the team – help team members be responsible and hold accountable

    2.       Plan, Implement, and Track all program goals as projects or operations (see Strategic Plan)

    (a)    Create projects and assign them.

    (b)    Create or aid in the drafting of standard operating procedures (SOPs) to push along progress.

    (c)    Review and “document control” SOPs, include them in the Linked Document Guide and publish copies “current and fit for use” in SharePoint.

    3.       Maintain and organize the Farm Safety folder on SharePoint.

      1. Approvals

    1.       Make sure projects/purchases are vetted through the appropriate channels (communications, legal, finance, grants, operations, admin, etc.).

    2.       Be an advocate for the Produce Safety Program with Department Leadership.

    3.       Provide regular updates to FDA, GDA, and shareholders as needed.

      1. Procurement

    1.       Work with Food Safety’s Purchasing Coordinator on getting approval for and purchasing needed supplies.

    2.       Be cognizant of non-allowable expenses and check with the FDA as required by the notice of award.

    3.       Work with vendors to obtain quotes, contracts, agreements, and purchase orders (POs).

    4.       Complete and process payment authorization forms.

    5.       Coordinate annual vehicle leases with GDA’s Fleet Manager.

      1. Weekly Updates

    1.       Provide weekly updates and metrics to the Division Director.

      1. Compliance and Enforcement

    1.       Draft warning letters and track violations of the Produce Safety Rule.

    2.       Collaborate with Food Safety’s Compliance & Enforcement Coordinator and GDA Legal Division.

    3.       Assist with Administrative Orders, Compliance Meetings, and Administrative Hearings.

      1. Produce Regulatory Program Standards (PRPS)

    1.       Assist in the Department’s development and implementation of the Produce Regulatory Program Standards.

    2.       Work with the Produce Safety Team members to identify and address gaps in policies, procedures, and other PRPS requirements.

    3.       Ensure the timely completion of Self-Assessments and Worksheets.

     

     

    Physical Demands:

    ·        Sitting for extended periods.

    ·        Working on computers for extended periods.     

    ·        Talking on the phone.

    ·        Long travel days

     

    Preferred Education and Experience:

    1.     Bachelor’s Degree in a Science or Agricultural Business-related field.

    2.     Experience with federal grants.

    3.     Knowledge of food safety state and federal laws, rules, and regulations.

    4.     Strong communication skills.

    5.     Working knowledge of Windows computer operating system and applications
