Overview: Iconic Manager is dedicated to acquiring and actively managing a select portfolio of iconic music brands. Iconic was formed to fill a void in the music business for legacy artists, and to act as a trusted steward for artist’s intellectual property, with the expertise to maximize the value of assets while preserving their legacy.
We are seeking an efficient and detail-oriented Project Coordinator to support our Chief Operating Officer (COO) and two Business and Legal Affairs executives in various administrative and project management tasks. The ideal candidate will be proficient in using Airtable for data management and reporting, possess strong organizational skills, and have the ability to handle multiple tasks with ease.
Responsibilities:
1. Airtable Management:

Regularly utilize Airtable for project management and process tracking and for COO in monitoring team activity across departments.

Confirm and enter data on individual projects.

Pull executive-level reports from the system.
-
Become proficient in Airtable to create additional views and reports.
-
Collaborate with Business Analyst (BA) to create status reports in Airtable.
2. Spend Request Tracking:

Traffic, monitor, and track spend requests for the entire team.

Assist in implementing a purchase order (PO) system to track expenses by artist.
3. Compliance Review:
-
Review Travel & Expense (T&E) reports for compliance on a monthly basis.

Assist in monitoring travel requests for the team.
4. Revenue Operations Support:

Assist the revenue operations team with tasks such as royalty statement mailings, data compiling, and monitoring monthly Shopify sales on D2C platform.
5. Presentation Preparation:

Prepare simple decks for financial presentations or pitch decks, especially for Consumer licensing initiatives.
6. General Administrative Support:
-
Schedule meetings and manage the COO's calendar efficiently.

Maintain a team calendar, noting vacations and out-of-office schedules.

Assist in overall team planning for periodic events and meetings.
7. Business Analyst and Consumer Licensing Support:

Provide assistance to the Business Analyst (BA) as needed.

Offer support for Consumer Licensing initiatives as directed.
Qualifications:

Passion for music.

Bachelor’s degree preferred.

Minimum 1 years prior experience in executive support role or project management position.

Advanced proficiency with Microsoft Office (Outlook, Excel, Powerpoint, etc.) required.

Analytical minded with prior exposure to data management, analysis, and reporting preferred.

Proficiency in using Airtable or similar work management software preferred.

Available to work outside of normal business hours as needed.

Highly organized with a strong ability to meet deadlines in a timely manner and with a sense of urgency.

Exceptional communication skills, resourcefulness, a high level of professionalism, and a proactive approach to all tasks

Position Details:
The compensation range is between $31.25 - $33.65 per hour dependent on experience. We offer a very competitive benefits package and time off schedule. Our office is located in Westwood Village, Los Angeles, CA. This position is required to be in the office Monday through Thursdays and remote on Fridays at the manager’s discretion.
