SUMMARY
We are seeking a highly organized and detail-oriented Office Manager to oversee the day-to-day administrative operations of our office. This role is critical to our team, as the Office Manager will be the sole office-based employee responsible for managing a wide array of administrative tasks, supporting our field team, and contributing to the overall efficiency of the business. Ideally, the successful candidate will possess exceptional management skills and have some experience in graphic design to assist with marketing materials.

JOB OBJECTIVES
- Manage and maintain office operations, including filing, scheduling, and general organization.
- Handle incoming and outgoing communications, such as phone calls, emails, and mail.
- Maintain records and documentation, ensuring they are accurate and up-to-date.
- Manage inventory and order office supplies as needed
- Coordinate schedules and appointments for the sales team, assisting with time management and resource allocation.
- Support HR functions, including onboarding, employee records, and policy updates.
- Act as a point of contact for clients and staff, providing timely and efficient communication.
- Process invoices, manage accounts payable and receivable, and assist with payroll.
- Monitor budgets and financial reporting, working closely with the management team to ensure fiscal responsibility.
- Use QuickBooks for financial tracking and reporting
- Track and manage project timelines, ensuring that key milestones are met.
- Assist with the development and implementation of office policies and procedures to improve operational efficiency.
- Design and update marketing materials, such as flyers, brochures, and social media graphics, using appropriate software.
- Manage and update the company website and social media accounts, ensuring content is engaging and aligned with brand standards.
- Collaborate with the team on marketing strategies and campaigns to enhance brand awareness.
KEY COMPETENCIES
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and office management software.
- Familiarity with graphic design tools such as Adobe Creative Suite (Illustrator, Photoshop) or Canva.
- Experience with CRM systems.
- Proficiency in QuickBooks for financial management.
- Strong organizational and multitasking abilities with a high level of attention to detail.
- Excellent time management skills and the ability to prioritize tasks effectively.
- Problem-solving skills and a proactive approach to addressing challenges.
- Strong written and verbal communication skills.
- Ability to communicate clearly and professionally with clients and team members.
- Friendly, approachable, and able to work well both independently and as part of a team.
- Ability to maintain confidentiality and handle sensitive information with discretion.
EDUCATION & EXPERIENCE
- Proven experience in office management, administration, or a similar role.
- A degree in Business Administration, Management, or a related field is preferred but not required.
PHYSICAL REQUIREMENTS
- Ability to sit for extended periods while working at a computer.
- Frequent use of hands and fingers to handle, control, or feel objects, tools, or equipment, including using a computer and office machinery.
- Occasional standing, walking, bending, and reaching.
- Ability to lift and move office supplies and equipment up to 25 pounds.
- Comfort with occasional travel to job sites for coordination purposes, which may involve walking on uneven terrain or exposure to outdoor weather conditions.
- Must pass a pre-employment physical and drug screen
