Job Description:The Contract Services Coordinator is responsible for providing a broad range of contract services for Gundersen Health System and Regional Partners. This position will manage and administer the implementation of both supply and service contracts and coordinate the contract review and approval process. This position will collect all the necessary data and other relevant information to prepare, review, analyze, negotiate and evaluate the contract terms, including monitoring contract compliance with corporate and departmental policies. This position will be responsible for managing the accuracy of the Contract Management Database and also serve as the content and application expert for this Database program. This position also includes leading special projects. The Contract Services Coordinator will be accountable for project assignments, as well as being able to prioritize and coordinate multiple projects simultaneously.
Major Responsibilities:
1. Lead special projects related to strategic department and organization goals and objectives. This may require being available on-call outside of regular business hours.
2. Function as Contract Management Database content and application expert which includes the development, implementation, testing, upgrading and management of the overall Contract Management Database.
3. Work closely with the Information Systems team to scrutinize the Contract Management Database for data accuracy.
4. Lead the training of other users on the Contract Management Database and develop training and reference materials.
5. Analyze and evaluate contract requests for business need, financial commitment and determine if legal terms and conditions meet the criteria defined by Legal and Compliance.
6. Determine appropriate contract type to ensure the applicable level of review and approval as defined in corporate operational policies.
7. Assist the Legal team with evaluation, review and negotiation of contract terms and conditions.
8. In collaboration with the Legal, Compliance and Accounting department, assist in protecting Gundersen Health System's reputation, financial interests, risk management, compliance and avoidance of contractual disputes.
9. Develop measurement and/or reporting tools to monitor contract compliance/non-compliance.
10. Responsible for maintaining integrity and accuracy of pricing data on supply contracts, including evaluating appropriate contract tier price and validating price interfaced between Contract Management Database and Lawson Materials Management application.
11. Analyze and assist departments with contract related inquiries and information requests in a timely, accurate and professional manner as they relate to contract price, term, legal obligations and renewal and termination provisions.
12. Performs other job related duties as requested.
Education and Learning:
REQUIRED Bachelor's degree in Legal or Business or a related field
Work Experience:
REQUIRED 1 year of contract experience with a background in automated applications
DESIRED 3-4 years of healthcare contract experience in contract management applications
