YOU WILL:

• Prepare and review receiving documents to ensure data uploads to the warehouse management system and other relevant databases are accurate.
• Run reports as necessary.
• Maintain Excel spreadsheets for a variety of uses including uploading to multiple tracking/inventory databases.
• Answer inquiries concerning received materials, provide customer assistance to international and national stakeholders.
• Verify goods received per vendor's packing slip information and compares to purchase order or materials delivery list provided by Consortia. Report any discrepancies to higher level.
• Manage documentation and departmental process for received damaged goods.
• Investigate and resolve shipping and receiving discrepancies which requires familiarity with multiple software programs.
• Interact and maintain customer relations with contractors managing the warehouse, laydown yard, and trucking contract.
• Accompany Fermilab staff and visiting members to off-site staging locations to inspect their project materials/building components to ensure quality for installation.
• Utilize existing shipping instruction manual to advise visiting members on material preparation, packaging, and markings/labels appropriate for shipping.
• Provide oversight and coordination of transportation services (trucking) from offsite storage to SURF.
• Coordinate logistic supplies from offsite storage to the SURF underground project site, working with installation teams to ensure adequate logistics planning.
• Perform physical inventory of items stored in warehouse/laydown yard as necessary.
• Conduct verification audits of capital equipment and sensitive items inventories.
• Abide by and is responsible for performing all duties in accordance with all environmental, health and safety regulations and practices pertinent to this position.
• Other duties as assigned.

Minimum Required Education and Experience: High School Diploma or equivalent; Associate degree with a discipline in Business Administration preferred, but not required. Minimum of 1 year(s) of experience in an administrative, logistics, or inventory management environment.

Applicable Knowledge, Skills and Abilities Required:

• Proficiency in Microsoft Office Suite required. Must have a valid state driver's license. Requires occasional local travel and may require travel to Fermilab, located in Batavia, Illinois.
• Advanced skill in Microsoft Excel and familiarity with 3PL and/or Oracle software is desired.
