Materials Handling Supervisor supervises and coordinates the work of employees who load and unload material within a warehouse or storage facility. Processes orders from requisitions and dispenses items from stock. Being a Materials Handling Supervisor oversees the utilization of hand trucks, forklifts, hoists, conveyors, or other handling equipment to move material to and from aircraft, trucks or trains and within the storage facility. Prepares work schedules, assigns work, and oversees the work product. Additionally, Materials Handling Supervisor ensures procedures are according to specifications and that resources are used effectively and work schedules and targets are met. May assist in inventory of stock and stock rotation. Enters information into a computerized system to maintain up-to-date stock records, retrieve stored data, or respond to inquiries about inventory levels or delivery schedules. Requires a high school diploma or its equivalent. Typically reports to a manager. The Materials Handling Supervisor supervises a small group of para-professional staff in an organization characterized by highly transactional or repetitive processes. Contributes to the development of processes and procedures. Thorough knowledge of functional area under supervision.     GENERAL SUMMARY/ OVERVIEW STATEMENT:

    Reporting to the CSPS Management Team and within established hospital and departmental policies, the Supervisor, Materials Coordinator is responsible for maintaining daily departmental supply workflows, including inventory management, receiving, distribution, and procurement functions. This position supervises and coordinates the daily technical activities of assigned staff to support the logistical needs of the MGH OR, within established policies and procedures. Responsible for ensuring patient safety through active management of infection control processes, sterility assurance, and product availability, each in a timely and cost-effective manner.

    PRINCIPAL DUTIES AND RESPONSIBILITIES:

    • Demonstrates leadership skills by consistently using problem solving and conflict management skills.
      • Identifies and utilizes appropriate channels for problem solving, able to escalate concerns through department leadership structure to ensure results are achieved.
      • Evaluates the effectiveness and implications of one's own decisions and takes responsibility and ownership for any problems.

      • Effectively prioritizes workload; appropriately delegates and supervise; recognizes employee accomplishments and celebrates successes.

    • Provides direct supervision and support to supply staff within the work unit.
      • Examines and assesses staff performance related to quality and efficiency.
      • Ensures compliance with work instructions, regulatory requirements, and established policies and procedures across all functions.
      • Assists with training demonstrations, competency testing and employee performance evaluations.
      • Demonstrates knowledge of processes by actively performing daily departmental functions when necessary.
      • Documents disciplinary issues, initiates resolutions and /or recommends corrective action plans.
      • Responsible for creating daily work assignments for the staff, continually reassess capacity and adjusts as needed.
      • Provides guidance to manager on vacation approvals.
      • Demonstrates support for the management team when assigned to various projects.
      • Maintains appropriate level of professionalism and decorum among staff members.

    • Demonstrates expertise of Materials Management.
      • Assists with inventories as needed and initiates in-house or outside orders in accordance with established par levels, whenever needed.
      • Demonstrates knowledge of inventory control practices through stock rotation and removal of expired items from inventory.
      • Participates in consolidation and standardization of supplies and equipment for the department.

    • Operational Responsibility for Procurement:
      • Directs procurement activities as required for MGH OR.
      • Communicates ordering needs for specific products to department colleagues, including quantity and deadlines.
      • Coordinates with colleagues on product fulfillment, and reviews records on order status using Microsoft Teams, Smartsheet, etc.
      • Able to place requisitions in eBuy for outside orders if needed.
      • Proactively communicates updates on product movement, including delays in delivery and confirmation of delivery.
      • Escalates recommendations for par level edits based on product movement.
      • Participates in department and interdepartmental meetings and will be responsible to gather facts, present documentation or perform other tasks related to the development of procedures or programs relating to inventory.

    • Operational Responsibility for Receiving & Stocking:
      • Manages the de-casing of orders in breakdown areas, removing all cardboard to preserve a clean environment.
      • Handles and distributes supplies safely to maintain sterile product integrity.
      • Coordinates the stocking of all non-specialty supplies and inventory items in designated supply locations.
      • Directs the replenishment of supply locations using FIFO (First In, First Out-rotational) procedure to avoid stockpiling and ensure sterility of product.
      • Consistently check for outdates and removes expired products from supply locations.
      • Directs the gathering of unused sterile supplies and returns them to their designated stock locations.
      • Monitors overstock storage areas and restock depleted stock locations accordingly.
      • Maintain overall tidiness, cleanliness and good order in supply locations; ensures items are properly shelved.
      • On a periodic basis and as requested, directs the cleaning of storage bins and shelves to maintain dust-free environment.
      • Maintain flow and cleanliness of breakdown areas in a neat and clean manner with minimal inventory storage. Works closely with Environmental Services to ensure waste, pallets and skids are clear of all egress.
      • Provides support to end users and staff members regarding product location, delivery and returns as requested.
    • Provides operational support to the Peri-Operative Team, inpatient floors, outpatient clinics and serves as front line liaison between all departments as related to daily operations.
      • Collaborates with the Customer service team to ensure products are available for use.
      • Communicates all relevant information regarding supplies to key stake holders including but not limited to product availability, backorders and substitutions.

    • Performs all duties in accordance with departmental, organizational, and national standards.
      • Maintains proper documentation in accordance with the regulatory agencies and departmental protocols.
      • Demonstrates knowledge and proficiency in all functions and tasks of the Central Sterile Processing and Supply.

    • Demonstrates considerable written and verbal communication skills in English as an essential function of the job.
      • Communicates effectively; verbal and written in English.
      • Accepts and transmits messages effectively in English.
      • Practices and promotes telephone etiquette as an essential job function.

    • Supports the departments training and staff development program.
      • Participates in the development of department in-services as appropriate.

    • Performs all other duties as assigned.

    • Strong work ethic and flexibility are essential.
    • Must be able to work independently.
    • Must have basic computer skills; including Microsoft Office and similar programs.

    WORKING CONDITIONS:

    • Involves large amounts of time walking and standing.
    • Involves large amount of time spent breaking down pallets and moving contents on rolling carts.
    • Exposure to the Operating Room environment is a requirement.
    • A strict dress code and professional appearing including wearing surgical scrubs is required.
    • Must be able to frequently lift up to 40 lbs. stoop, bend, pull, and place and retrieve material.
