Medical Records Coding Manager supervises and trains a team of medical coders to ensure medical records are coded with accuracy and completeness. Ensures medical records coding operations follow the latest guidelines and compliance standards. Being a Medical Records Coding Manager maintains required documentation and confidentiality of patient records. Implements processes for coding operations that support the needs of other healthcare partners. Additionally, Medical Records Coding Manager develops and maintains up-to-date knowledge of the latest ICD and CPT coding versions and ensures coders receive updates and training on classification or guideline changes. Is a certified medical coder and the exact type of coding certification may vary based on the clinical setting or a medical specialty focus. Typically requires a bachelor's degree in healthcare administration, a related field, or equivalent. Depending on the setting typically requires the Certified Coding Specialist (CCS) certification. May additionally have the Registered Health Information Administrator (RHIA) credential. Typically reports to a manager or head of a unit/department. The Medical Records Coding Manager supervises a group of primarily para-professional level staffs. May also be a level above a supervisor within high volume administrative/production environments. Makes day-to-day decisions within or for a group/small department. Has some authority for personnel actions. To be a Medical Records Coding Manager typically requires 3-5 years experience in the related area as an individual contributor. Thorough knowledge of functional area and department processes.     Position Summary for Medical Records:

    Medical Records is responsible for maintaining health information, medical supplies and inventory systems. Provides coverage to answer phones and greet visitors. The person holding this position is delegated the responsibility for carrying out the assigned duties and responsibilities in accordance with current existing federal and state regulations and established company policies and procedures.

    Essential Functions/Medical Records:

    • Oganizes, files and maintains medical records daily and upon discharge
    • Cleans and maintains chart binders and dividers
    • Rotates medical records annually and tags for shredding according to facilities destruction policy
    • Audits physician visits and notifies physician of required visits
    • Maintains file cabinets, copies, orders, and stocks all forms as needed
    • Prepares envelopes for mailing to physicians
    • Tracks return of telephone orders, reviews for signature and date and files in medical record
    • Faxes and retrieves faxes for the nursing department and distributes to the appropriate individuals
    • Prepares admission/re-admission chart packets
    • Audits charts to ensure proper order and complete information as necessary
    • Audits discharge records to ensure all records are complete before filing
    • Prepares resident hall roster and distributes
    • Greets, assists and directs residents, visitors and providers personally and by phone
    • Photocopies under the direction of HIPAA privacy office, any records required to be sent for insurance, legal or other purposes
    • Maintains resident confidentiality
    • Any other duties assigned by Administrative staff

      Education and Experience

    • High School or equivalent
    • Long term care experience
    • Experience in a fast-paced environment
    • Post-acute care or health care experience preferred
    • Qualified Medication Aide
