Medical Records Coding Manager supervises and trains a team of medical coders to ensure medical records are coded with accuracy and completeness. Ensures medical records coding operations follow the latest guidelines and compliance standards. Being a Medical Records Coding Manager maintains required documentation and confidentiality of patient records. Implements processes for coding operations that support the needs of other healthcare partners. Additionally, Medical Records Coding Manager develops and maintains up-to-date knowledge of the latest ICD and CPT coding versions and ensures coders receive updates and training on classification or guideline changes. Is a certified medical coder and the exact type of coding certification may vary based on the clinical setting or a medical specialty focus. Typically requires a bachelor's degree in healthcare administration, a related field, or equivalent. Depending on the setting typically requires the Certified Coding Specialist (CCS) certification. May additionally have the Registered Health Information Administrator (RHIA) credential. Typically reports to a manager or head of a unit/department. The Medical Records Coding Manager supervises a group of primarily para-professional level staffs. May also be a level above a supervisor within high volume administrative/production environments. Makes day-to-day decisions within or for a group/small department. Has some authority for personnel actions. To be a Medical Records Coding Manager typically requires 3-5 years experience in the related area as an individual contributor. Thorough knowledge of functional area and department processes. Electronic Medical Records (EMR) Manager

    Works to ensure that our data supports the reporting requirements of all grant reporting needs and makes suggestions for process improvements. Implements digital technologies and tools to gain efficiencies, facilitate record retrieval, and ensure secure storage. Works to provide training for staff and information resources to end-users of Electronic Medical Records. Also, plays a crucial role in maintaining the integrity and accuracy of electronic medical records, ensuring compliance with regulatory standards, and providing valuable coaching to staff involved in data entry processes.   Collaborates closely with supervisors and directors of functional areas. Works with the Director of Data Management in the build and maintenance of the EMR.

                                

    ESSENTIAL DUTIES AND RESPONSIBILITIES 

    Essential functions include but are not limited to the following:

    • Conduct regular data audits of electronic medical records to ensure accuracy, completeness, and compliance with established standards.
    • Collaborate with clinical and administrative teams to identify and rectify data discrepancies promptly.
    • Monitor and analyze trends in data quality and recommend improvements to enhance overall data integrity.
    • Conduct hands-on coaching and training to non-clinical staff involved in data entry processes, which will require occasional 2nd shift or weekend work.
    • Conduct training programs to ensure staff proficiency in capturing prospect information, scheduling client intakes, recording demographic details, including insurance information, and utilizing the bed board system effectively.
    • Addresses any issues related to data entry errors, maintain comprehensive documentation of data auditing processes, findings, and corrective actions taken.
    • Generate regular reports on data quality metrics and trends to share with relevant stakeholders.
    • Work closely with Director of Data Management, compliance teams, and training teams to address and resolve any issues related to EMR data management and to implement system enhancements and updates.
    • Work closely with department heads to understand specific data needs and implement solutions to meet those needs.
    • Works on the development and implement our new EMR. 

     

     QUALIFICATIONS / REQUIREMENTS

    • Experience with using EMR/HEHR systems or similar SaaS platforms, creating patient charts, scheduling clients and ensuring that clients have access to health insurance.
    • Works well in a collaborative environment with clients, non-clinical staff and credentialed staff to ensure proper workflows and scheduling.
    • Proficient in working with electronic medical record systems or similar SaaS systems for data management.
    • Excellent communication skills, both written and verbal.
    • Proven ability to teach staff effectively.
    • Strong analytical and problem-solving skills.
    • Attention to detail and a commitment to maintaining high standards of data accuracy.
    • Ability to adapt to changes in technology, policies, and procedures.
